Description


The Housing Administrator is accountable to the Manager, Residential & Family Supports for the daily management of the physical, administrative, and operational components of housing sites. The Housing Administrator acts as a resource for tenants and their families, serving as their liaison during and after the rent process. The position also includes planning to support the intake process through Reena, March of Dimes Canada, CHIRS, YSSSN, Safehaven and other service partners/providers for new tenants at Reena other housing sites as identified by Reena.

Key Responsibilities


JOB DUTIES AND ACCOUNTABILITES


  • Property Management Responsibilities:
  • Primarily responsible for the housing administration and tenant relations at, but not limited to the Lou Fruitman Reena Residence (LFRR) and Sandy Keshen Reena Residence (SKRR)
  • Participates in regular staff and unit meetings within the unit
  • Assists with the York Region Rent Assist Program or any other programs if applicable
  • Acts as representative for tenants in Reena interests through various courts or tribunals
  • Coordinates reception and security services for the building
  • Facilitates tenant and staff lead problem resolution to address known issues
  • Coordinates with the Facilities Supervisor to ensure proper building maintenance, fire safety and tenant issues
  • Act as the on-site contact for contractors and third parties who are accessing our facilities
  • Coordinates the audits regarding Rent Assists
  • Collaborates with other agencies to build networks and promising practices
  • Carries out administrative procedures and maintain appropriate records with respect to administration, finance, maintenance, tenants, and community development
  • Represents and promotes Reena as a partner
  • Responsible for working in collaboration with building services staff to ensure units and building facilities are maintained in good repair. This includes annual or other unit inspections, generating work orders, booking of contractors, follow up and communication with tenant /staff regarding building and/or unit maintenance work /progress
  • Responds to requests for information related to services and tenancy
  • Assist tenants in identifying any issues, problem areas and relevant needs within their housing community
  • Housing Administration and Tenant Relations Responsibilities:
  • Facilitates the introduction of new individuals
  • Collaborates with Program Managers in support of Operations and Tenancy elements
  • Other duties as assigned
  • Represents the LFRR and SKRR in the intake process with other Reena residences, families and/or other agencies
  • Liaises with Accounting Department to ensure financial reporting of the subsidy program to York Region Housing or any other programs if applicable
  • Strong advocate in the Health and Safety management of the LFRR building
  • General Responsibilities:
  • Educates tenants about basic and preventative maintenance issues, and their responsibilities in maintaining their apartment as per signed tenancy/occupancy agreement
  • Conducts tours of Reena premises
  • Participates in regular supervisory sessions with the Manager
  • Monitors and reviews tenant needs and issues and communicates the information to the Manager
  • Upholds confidentiality and adheres to policies regarding tenant information and financial matters
  • Prepares reports and update for the Manager as required
  • Liaises with other Reena departments for matters relating to LFRR and SKRR
  • Performs other related duties as required
  • Responsible for intake management, including background checks, generating leases, facilitation of intake for tenants entering the portfolio and orienting the new resident to the organization policies and procedures


Skills, Knowledge And Expertise


Qualifications Formal Education and Experience


  • Knowledge of Residential Tenancy Act, Community Housing, alterative housing arrangements.
  • Strong verbal and written communication skills.
  • Works effectively as a member of a team and independently
  • Previous property management experience including lease administration.
  • Exceptional customer service skills, focusing on solutions Note: This position may require evening shifts.
  • University degree in social services or equivalent related undergraduate degree.
  • 2-3 years' direct experience working in social service organization and supporting individuals with tenancies.
