Job Description
Principal Responsibilities/Tasks


  • In the absence of the Site Clerk, complete all administrative tasks
  • Understand detailed contract terms, specifically the links binding FirstCon to the owners and trades; lean rights, waivers, releases and their compliance documents as well as other related documents
  • Keep an organized and continuously updated (daily) file structure for all the construction documents on the drive
  • Establish, maintain, conduct, and police detailed procedures for the submittal, review, coordination, approval, and distribution of shop drawings, samples, etc.
  • Manage and file the photographs for the entire project
  • Project Close Out Documents:
  • Scheduling
  • Follow Construction Site:
  • Recognize if "additional" work performed on site is contractual or not
  • Develop a deep understanding of project and specifications, documents and plans
  • Create change orders with high priority so that the construction site is aware of changes as soon as possible
  • Assist Project Manager in preparing LOR & LOI award notes and contracts.
  • Regularly chair coordination meetings
  • Assemble, analyze, negotiate and award tenders, preparing them for approval by the Project Manager if applicable
  • Works with PM to request, receive, prepare, negotiate, award and track quotes from subcontractors for purchase and change orders, preparing them for approval by the Project Manager when required.
  • Procurement:
  • Verify compliance and completeness of documents
  • Verify coordination between plans (Architecture, Structure, Mechanical, etc)
  • On a daily basis, keep track of all work executed in the format of own choosing (i.e. journal)
  • Draft and prepare standard meeting minutes in FirstCon format
  • Interface with the Site Superintendent to ensure there are no outstanding issues
  • Prepare list of closeout documents required by owner
  • Clerical Work
  • Compile and manage deficiencies
  • Manage the requests for information in a simple and effective manner as determined by the Project Manager
  • Analyze tenders with PM for structural, foundational, electromechanical, and interior finishes (Divisions 2 8 = 85%, 9 10 = 100%, and 11 16 = 30 - 80%)
  • Familiarization with the accounting procedures: creates change orders; verifies, stamps and approves invoices and prepares progress billing
  • Regularly lead task oriented meetings
  • Participate in site meetings
  • Request, reviews, logs and distributes shop drawings at the request of the Project Manager
  • Provide accurate reports of site status when asked
  • Prioritize emails and phone calls and respond in order of priority on a daily basis
  • Ensure packing slips are returned to the office and attach appropriate slips to invoices
  • Assist Site Superintendent in recognizing and solving construction issues, trade coordination, and upholding health & safety in the workplace
  • Document Control:
  • Perform weekly site visits and take or monitor progress photographs with the Site Superintendent
  • Understand shop drawings: Civil = 90%, Architectural = 100%, Mechanical/Engineering = 95%
  • Works with PM to prepare, distribute and manage full tender packages of high complexity (including design build)
  • Create change order log & binder and keep them updated
  • Distribute construction documents related to the execution of work on site to Site Superintendent, subcontractors and the entire project team and ensure the information was successfully received
  • Oversee with subcontractors to ensure the deficiencies are fixed
  • Collect, assemble and/or file all close out documents such as: as-built drawings, warranties, maintenance manuals


Become an advanced user of Microsoft Project


  • Recognize potential delays during the course of the project and propose mitigating solutions
  • Verify material delivery dates
  • Client Interface
  • Regularly interact with the client
  • Judge the duration of every element, consult with the trades for critical path elements
  • Create and manage the project schedule in Microsoft Project
  • Make a list of all major items to be included in the project
  • Progress logic, sequence and the relationship between all the items
  • Ensure sub-trades are meeting scheduled target dates
  • Work with the Project Manager, Superintendent and the Estimation/Purchasing staff in the final development of the baseline construction schedule


Our Ideal Candidate Meets The Following Criteria


  • Proficient in MS Projects, Word, Excel, and Outlook.
  • Ability to read, understand and interpret construction drawings, shop drawings and other technical documents.
  • Must have own transportation.
  • Strong organizational and time-management skills.
  • Have minimum one complete full cycle project as a coordinator or higher.
  • 5 years local experience in residential high-rise. Will not accept any other applicates.
  • An advanced knowledge of various construction disciplines, safety regulations, scheduling, cost control and quality control means and methods.
  • Ability to lead in a fast-paced, deadline-driven environment.


Training Requirements


  • First Aid Certificate (Is preferred but not mandatory)
  • JHSC Training (Is preferred but not mandatory)
  • WHMIS
  • MOL Supervisor Health & Safety Awareness
