The Sr. Director of Operations is a hands-on position that carries the responsibilities of streamlined workflow through the agency while establishing and maintaining guidelines to ensure every job is of the highest standard of quality.


Primary Responsibilities:


Establish department procedures and ensure that they are followed. This includes guidelines and checklists


Organize and ensure efficient movement of workflow in and out of the agency to meet deadlines and standards for excellence


Evaluate and recommend new technologies for the advancement of process and project management


Consult and maintain server hierarchy, including archiving, so all brands are set up consistently


Help determine (through attendance at status meetings, monitoring of dailies, discussion with Project Managers) the anticipated workload to ensure a smooth transition of work in and out of the department


Project Management: This role will enable to PM department to be more effective in the following areas:


PROCESS & WORKFLOW: accountable for the project management practices on their assignments, while understanding the nuances between projects and assignments.


Proactively address and communicate changes and design the most efficient workflow for optimal business results. Learn best practices with project management methodology, tools, and techniques ensuring efficiency, quality control, and flawless execution of agency jobs.


RESOURCE MANAGEMENT: understanding resource needs for their projects and how to manage allocation of said resources (both internal and external) with fluctuations in work. Review staffing plans + utilization for accuracy and flag budget concerns. Have confidence in responding to questions as they arise, internally and with clients. Partner with business leads for consistent weekly financial tracking and monthly financial reconciliation.


EXECUTION OF DELIVERABLES: proactively track critical path activities, anticipates risks, finding integration points, and create contingency plans in collaboration with brand PMs. Assist by being a clear escalation path to all personnel within assigned brands.


Management Responsibilities


  • Recommend adjustments/additions to the roles and procedures of the department to achieve continuous improvement and efficiency across all accounts and/or specific accounts
  • Evaluate performance of direct reports, complete and deliver performance reviews, and provide constructive and direct ongoing feedback to direct reports
  • Keep Brand Teams apprised of any workload challenges/concerns on assigned team accounts that may necessitate hiring freelancers
  • Oversee direct reports’ time-off schedules, time reporting, etc, to always ensure appropriate coverage for departments/accounts, and accurate job billing
  • Monitor work to assure project deadlines are met
  • Monitor overall workload to effect efficiency and assure that waiting or downtime is minimized
  • Provide ongoing guidance to all team members and help direct reports manage and resolve staff issues including performance, personal presentation, and internal interactions


Requirements:


  • Ability to establish and maintain effective relationships to gain trust and respect
  • PMO platform experience (examples include, but not limited to, HIVE, etc.) and timeline management (MS Project, etc.)
  • Ability to apply leading-edge project management philosophy, tools, and techniques to our deliverables
  • Proven track record of hiring, developing, and retaining staff. Enhances the professional development and growth of team members
  • Creative, innovative, enthusiastic problem solver demonstrating influencing skills; exhibits strong mentoring, teamwork, and client service orientation
  • Minimum 5 years directly managing a cross-functional team
  • Demonstrated experience in organizational workflow development and change management
  • 8+ years’ experience, with the last 4+ years focused in digital workstreams
  • Advertising agency experience required, healthcare industry or professional services firm strongly desired
  • Build constructive relationships to foster collaboration and cross-functional thinking o Polished and succinct verbal and written communication skills. Engage regularly with the account services, creative, tech, and strategy teams. Provide proactive updates to the agency Executive Leadership Teams
  • Extensive knowledge and skills across digital development and delivery of omnichannel (websites, apps, email, banner, CMS, Veeva, custom builds) from discovery through delivery
  • Strong financial/budget management experience required. Can develop annual SOW’s and staffing plans, as well as monitor resource utilization and profitability for the agencies
  • Agile certified (beneficial, not required)
