Job Description

Reports to

Chief Executive Officer (CEO)


Overall Responsibilities

The Executive Liaison is responsible for providing support to the CEO, Senior Management Team and the Council of the College to help manage and advance the College’s initiatives and to support it meeting its goals. The Executive Liaison provides program support to the CEO and project and administrative support to the CEO and Senior Leadership team.


Specific Duties

1. Strategic and Operational Advisory Activities

  • The Executive Liaison will support the strategic and operational activities of the Executive offices by:
  • Screening important information for the senior management team.
  • Maximizing efficiency and production, enhance current processes, and align corporate practices.
  • Assisting executives in decision-making, program management, and initiative implementation.
  • Serving as a conduit for information, a filter for information, and a facilitator with internal and external stakeholders as an extension of the CEO.
  • Tracking and delivery of organizational actions, tasks, objectives, and goals by coordinating with staff and teams to ensure timely implementation of programs and deliverables.

2. Administrative Support Activities

On behalf of the Chief Executive Officer, the Executive Liaison will manage the logistics of the CEO’s daily job, including:

  • Arrange and oversee travel logistics
  • Drafting reports.
  • Managing the CEO’s emails, calendar and meeting schedule.
  • Managing and filtering correspondences.
  • Communications with external strategic partners.
  • Organizing and preparing for meetings.
  • Preparing presentations.
  • Interactions with coworkers.

3. Project Support Activities

The Executive Liaison will provide project support to the Chief Executive Officer by assuming day-to-day management and control of key projects, facilitating completion of project goals with and on behalf of the CEO.

4. Executive team Support and Liaison Activities

The Executive Liaison will support the senior leadership team of the College by

· Collaborating with the senior management team and department heads to manage daily operations, coordinate the company calendar, and create correspondence and reports.

· Managing information flow in a timely and accurate manner.

· Preparing monitoring reports for the Ministry of Health and the Council as required, including but not limited to the College Performance Measure Framework submission and the semi-annual operations reports.

· Drafting the Annual Operational Plan and Human Resources Plan in conjunction with the senior management team of the College.

· Assisting with the administrative activities of human resources as needed relating to Council members.

5. Council Support Activities

On behalf of the Chief Executive Officer, the Executive Liaison will support the Council (Board of Directors) of the College by:

  • Scheduling the Council meetings and overseeing the process of agenda preparation, attendance, briefing materials, program materials, package dissemination for meetings, minute preparation and dissemination.
  • Liaising with individual Directors to obtain necessary information and respond to questions and inquiries.
  • Assisting with the preparation of written communication on behalf of the CEO and Council Chair for the Annual Report, News Articles or externally to stakeholders as needed
  • Preparing communication to the Lieutenant Governor to report vacancies and opportunities to renew existing Council member terms
  • Managing the election process for the Council elections annually and the annual election of the Officers.
  • Liaising with the Council Chair to maintain contact between the Executive Offices and the Chair.
  • Submitting of expense claims to the Health Board Secretariat for eligible Council members

Qualifications

To perform the duties successfully, the incumbent will have:

  • Problem Solving Skills: Ability to identify issues, brainstorm and analyze potential solutions.
  • Computer and Digital Literacy Skills: To perform this job successfully, an individual must have proficiency in word processing software, spreadsheet software, internet software, and contact management systems and the ability to find, evaluate and communicate information by utilizing a variety of digital platforms.
  • Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Education/Experience: Four to six years related experience and/or education; or equivalent combination of education and experience.
  • Language Ability: Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or business community members. Ability to write presentations and articles for publication that conform to prescribed style and format.
  • Math Ability: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.


Terms and Working Conditions

The following terms and working conditions apply to this position:

  • This is a full-time permanent position with the College;
  • The position is based on a 35-hour work week, Monday to Friday;
  • Salary will be based on the experience, skills and qualifications of the incumbent within a range of $65,000 - $87,000 per year.
