Due to our ongoing national growth and expanding business lines, we have an exciting opportunity for anExecutive Assistant. In this role, you will support the CEO in day to day operations of the company. As the ideal candidate, you are comfortable working in a fast-paced environment, both as part of a team and on your own. You are extremely organized and have excellent communication skills.
Your responsibilities include:
- Manage all aspects of the organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate futures needs of the organization
- Complete a variety of administrative tasks that facilitate management’s ability to effectively lead the organization, including assisting with special projects
- Other activities as assigned that help to foster a culture of teamwork and inclusivity
- Assist with expenses and prepare reports, when necessary
- Designing and producing complex documents; reports; and presentations
- Proactively look for new ways to improve current processes, maximize executive productivity and affect continuous improvement and efficiency
- Planning and organizing team events and retreats
- Coordinate travel and accommodation arrangements
- Conducting research and creating reports on various topics based on the needs of the executive
- Maintaining a high degree of discretion and confidentiality
- Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
- Manage the executive’s calendar, including scheduling meetings, rescheduling appointments and providing daily briefings
- Assist in preparation of internal and external communication – memos, emails, presentations, reports
Job Requirements:
- Communication and interpersonal skills
- Ability to handle sensitive information with discretion
- Efficient computer and office equipment skills
- Ability to conduct research and create reports or presentations
- Ability to learn quickly
- 3-5 years of experience supporting a senior executive
- Post secondary education required
- Ability to work in a fast-paced environment
- Time management
- Exceptional attention to detail
