Job Description

Event & Marketing Coordinator-(Cover for maternity leave for 14 months with the possibility of extension)

Start: Monday, June 12, 2023

Position Purpose

In this position, you will be a key contributor to enhancing The Empire Club of Canada’s reputation by supporting the planning and execution of internal and external events. In this position, you will develop and maintain relationships with vendors and other service providers and work with Empire Club of Canada teams to execute Empire Club of Canada-hosted events that bring together external stakeholders and/or employees/Board Directors to facilitate engagement and education.

Major Responsibilities

  • Ensures that orders and contractual agreements are processed promptly and accurately.
  • Supports event and event vendors/suppliers, staff, and other internal and external stakeholders.
  • Plans and assists in the organization and delivery of events and meetings.
  • Liaises with Empire Club of Canada Senior Management to ensure plans are developed that support their objectives.
  • Liaises with vendors/suppliers, speakers, facilitators and presenters to ensure the timely and accurate delivery of event materials/services.
  • Ensures that post-event evaluations are conducted and creates post-event reports.
  • Assists in the organization of planning meetings, agendas, and materials.
  • Experience with social media asset design, digital marketing tools, email marketing and posting to social media channels; Instagram, Facebook, Twitter and LinkedIn.
  • Sets up, monitors and reports on event registrations regularly.
  • Facilitates set up and maintenance of digital tools and website for registration of in-person and virtual events. Digital tools include Canva, HubSpot, Swoogo, WordPress, Twalk.to, PigeonHole, Survey Monkey, Youtube
  • Anticipates and troubleshoots issues/problems during the delivery of the conference or event to ensure their timely resolution.
  • Conducts research, assessment, and selection of venue(s) for conferences, events and meetings.

Support the planning and execution of the Empire Club of Canada Events:

  • On-site execution and logistical support for all aspects of the conference.
  • Speaker administration and booking calls.
  • Volunteer management.
  • Registration management, including set-up and reporting.
  • Other ad hoc duties as required

Education

  • Certified Meeting Planner (CMP) and Digital Event Strategist (DES) designations preferred
  • Undergraduate degree or diploma in Event Marketing/Communications, Business, or a related field

Qualifications

  • Proficient in Microsoft Suite of Office Products
  • Proficient in online/virtual event platforms
  • 1-3 years experience in event planning and delivery
  • Experience in the public sector is an asset.
  • Experience with Creative Adobe Suite an asset
  • Interest in social media and digital marketing

Reporting Structure:

  • Reports to the Senior Manager, Events & Communications

Working Conditions:

  • Flexible remote/hybrid office environment
  • Candidates must be based in Greater Toronto Area

Compensation:

Full-Time Contract - maternity leave cover for 14 months with the possibility of extension. $40K-$45K annually plus two weeks’ vacation and a comprehensive benefits package. Note: The Empire Club production schedule runs from mid-September through June each year.
