Job Description

The Customer Service and Logistics Coordinator will be responsible to ensure a quick and efficient ordering process, from the order reception to its invoicing. They will be responsible for communicating in a timely fashion with the customers throughout the order process, when necessary. They will organize shipments of goods to various domestic and global locations and will ensure customs compliance of products exported.

– Primary Duties and Responsibilities

  1. Manage customer purchase orders from entry to shipping.
  • Process receiving documents from purchase orders in ERP.
  • Preparing shipping documents and invoicing.
  • Create Purchase orders in ERP and submit them to suppliers.
  • Assist with month-end/year-end reporting in ERP and Excel.
  • Enter sales orders into ERP and acknowledge to customers.
  • Tracking payments to vendors and coordinating with A/P to ensure information is current in ERP.


2.Create and maintain digital customer records and files.

  • File customer and vendor related communications in shared network site.
  • Review internal inspection reports for shipping information.
  • Invoicing and follow up.
  • Create Material Test Reports (MTRs) based on information supplied by QA/QC.


3.Import/Export documentation

  • Customs duty drawbacks.
  • Manage temporary imports (TIB) documents.
  • CERS filing with CBSA.


4.Assist with backlog and financial exposure tracking spreadsheets.


5.Other administrative tasks and activities related to customer service and logistics.

Qualifications – Skills and experience


  1. Strong organizational skills for the performance of a variety of administrative duties
  • Team Player.
  • Ability to prioritize tasks.
  • Thoroughness; accuracy and attention to detail.
  • Ability to work under pressure and to achieve deadlines.
  • Maintain accurate customer records and create customer facing documents.
  • Self-starter with the ability to work independently without daily supervision.
  • Flexibility to changing priorities throughout the workday.


2.Experience with import/export activities and understanding of HS codes and duties. Diploma in Supply Chain Management, Logistics or Business Administration an asset but not required.


3. Excellent communication and interpersonal skills; ability to effectively communicate with people within as well as outside of the organization.


4.Strong data entry and organizational skills

  • Microsoft Excel, Word and Outlook.
  • Experience with ERP (SAP, ORACLE, or any other, since we use a proprietary ERP)


5.Language skills:

  • English fluency, written and spoken (must have).
  • Second Language an asset (Mandarin, Spanish, Hindi, or any other).
