Position Profile
Passport Health is looking for a Clinical Operations Manager to support our clinics across Canada.
Reporting to the Vice President of Operations and the Director of Operations, the Clinical Operations Manager is responsible for overseeing and managing the company’s daily activities related to the production and operations. This role requires the individual to be highly organized, have a strong work ethic, and be able to successfully collaborate with supporting departments such as Finance, Supply Chain, Logistics, and Human Resources.
:
- Responsible for keeping operational documents/reports up-to-date.
- Analyze occupancy and demand of all Canadian clinics weekly and adjusting target hours per location. Work with collaboratively with the HR, Clinical Management, and Scheduling Team to fulfill target hours, and determine actions required to meet demands.
- Promote and manage a corporate culture of accountability and ownership.
- Prepare annual budgets for clinic operations.
- Lead in the effort of clinic expansions: from lease negotiation, onsite inspection, to ensure the clinic has all tools to operate.
- Act as a primary contact for vaccine suppliers, negotiations, and purchasing contracts.
- Perform ad hoc projects as required.
- Propose new strategies to improve the financial performance of Canada clinics.
- Responsible for controlling supply and inventory costs associated with vaccines, medications, medical supplies, and office supplies.
- Responsible for ensuring clinics are operationally ready with vaccine inventory, medical waste management, janitorial services, and security to meet weekly and daily demand.
- Responsible for appropriate staffing of clinics and related labour costs.
- Monitor and evaluate performance in Canada: analyze and interpret data and metrics against goals to ensure progress is being made and propose corrective action if necessary.
- Examines reports (e.g., inventory, sales, and daily reports) to determine the operational activities of the company and ensure optimum performance.
- Responsible for Canada P&L to ensure financial performance meets or exceeds budgetary commitment.
- Handle Customer enquiries and complaints which are escalated from the clinical team.
- Manage suppliers and be the main point of contact.
Requirements:
- 3-5 years of relevant Operations Management experience required.
- Effective attention to detail and a high level of accuracy.
- Undergraduate degree in Business Management, Business Administration or related fields required; M.B.A preferred.
- Sound analytical thinking, planning, prioritization, and execution skills.
- Successfully pass a Police Background Check
- Exceptional project management and leadership skills in a cross-functional matrix team environment.
- Effective leadership skills, with a strong focus on operations and business processes.
- High degree of integrity, confidentially, and accountability.
- Must be able to travel across Canada and the United States occasionally throughout the year.
Physical Requirements:
- Must be available to work in-person at our Downtown Toronto office.
- Must have access to a reliable vehicle
- Be willing to travel to all Passport Health clinics within the Toronto GTA region
- Must be able to lift 15-20 pounds.
