Job Description
We are now in search of an experienced Events & Project Manager, who is confident in all areas of planning and facilitating client events and workshops. This is a contract position (3-4 months) with a well known, reputable employer with a beautiful downtown office. The successful candidate will be able to fully commit to the duration of the assignment.
As a member of the Client Experience team, the Client Education & Events Specialist assists in the creation and execution of meaningful client events and engagement experiences, including but not limited to client webcasts, educational workshops, conferences, and on-site tours of BCI’s portfolio companies. The Specialist reports into the Manager, Client Education & Development and will be responsible for project and logistical planning associated with such events, as well as creating promotional materials and communication assets.

Responsibilities
Assist with the planning, management, and execution of client events
  • Plan, manage, and deliver events aligned with the organization's client engagement and communication programs, such as Investor Day, educational
  • Support the Manager, Client Education & Development in the planning and execution of client education programs.
workshops, client webcasts, and tours of the organization's portfolio companies.
  • Develop a critical path/project plan for all client events that includes, but is not limited to, event design, program and content development, speaker management, facility booking, food and beverage arrangements, audio visual provisioning, and registration systems.
  • Assist in the creation and management of event budgets and associated financial reporting.
  • Source, manage, and coordinate with external event services as required, including virtual event producers, AV technicians, venues, caterers, transportation, on-site communications, etc.
  • Support speaker scheduling, preparation, and event day coordination.
  • Oversee and manage RSVPs and attendance tracking.
Assist with the creation of related communication materials
  • Update related marketing materials and advise related stakeholders.
  • Develop post-event surveys and produce summary reports of key insights. Maintain client events calendar
  • Create event-related communication assets including written materials, presentations, videos, webcasts, etc.
  • Maintain a rolling 12-month calendar of client educational events and offerings.
  • Assist with the marketing and promotion of each event.
Effectively collaborate with team members and stakeholders
  • Work collaboratively with members of the Client Experience, Relationship Management, and other teams to coordinate deliverables
associated with shared projects.
  • Work closely with members of the team to strengthen client confidence and measurably improve client satisfaction levels.
  • Represent the Client Education & Development team in liaising with both internal and external event stakeholders.
Qualifications
  • Two to five years of experience in corporate event planning that encompasses: event project planning budgets and financial reporting stakeholder, staffing and volunteer management meeting and event design (program development, speaker management, coordination of Food & Beverage, AV, registration systems,
  • University degree or College diploma in communications, public relations, and/or event management and planning
etc.) site management (selection, layout, logistics, transportation, onsite communications) event marketing (planning, development of materials, contribution to PR activities), event feedback and participant surveys
  • Ability to assess project complications and swiftly deal with them to ensure client satisfaction
  • Strong preference will be given to candidates with project management certifications such as the PMP or CAPM and completion of the CFA Institute Investment Foundations® Program or Canadian Securities Course
  • Strong project and time management skills with the ability to work in a deadline-driven environment
  • Excellent interpersonal skills with the ability to communicate and work collaboratively with internal and external stakeholders
