Job Description

DEPARTMENT: Operations

REPORTS TO: CEO

SUPERVISE: Software Development Team, Admin, Sales/Marketing Team, Implementation Team, Support and Accounts

FTE STATUS: 1.0 FTE

HOURS: 40 paid hours per week. Regular office hours are Monday to Friday, 8:00 am to 5:00 pm.

ANNUAL SALARY: $80,000

POSITION DESCRIPTION


  • Play a pivotal role in shaping the company's technological vision, strategy, and direction in collaboration with the Software Team Lead.
  • Oversee client relations and account management, utilizing effective project management and conflict resolution to ensure timely deliverables align with customer contracts.
  • Lead, manage, and hold the team accountable for achieving agreed-upon commitments. Ensure staff consistently adhere to core processes to maintain efficiency and promote a collaborative and high-performing workplace culture.
  • Collaborate with the CEO on short and long-term planning to establish the vision and strategic direction.
  • Manage and allocate resources, ensuring financial objectives are met.
  • Integrate all major business operating functions using the Entrepreneurial Operating System (EOS) to ensure everyone is working together to achieve the business objectives.
  • Execute the business plan and manage day-to-day operations to achieve objectives.
  • Monitor and analyze performance to proactively address issues and continuously improve core processes.


ESSENTIAL DUTIES


Time spent = 50%: Operations Management


  • Act as a mentor and guide for team members, promoting their professional growth and development.
  • Provide strategic leadership to the technical teams, including software engineers, developers, architects, and data scientists.
  • Employee engagement, and fostering a culture of open communication, collaboration, and innovation.
  • Collaborate with external vendors, suppliers, and partners to manage relationships, negotiate contracts, and ensure smooth coordination to support the company’s operations.
  • Risk Management: regularly assess and mitigate risks that could impact operations and the overall business (i.e., identify potential risks, implement risk management strategies, and ensure compliance with industry regulations and standards).
  • Process optimization: Identify opportunities for operational improvements and implement efficient processes and workflows (i.e., streamline software development processes, optimize project management methodologies, and enhance cross-functional collaboration).
  • Collaborate with executive leadership to define and execute the company's technology roadmap aligned with business objectives.
  • Collaborate with CEO to develop and execute the strategic direction (i.e., set goals, define KPIs, establish actionable strategies to drive growth and achieve business objectives)Performance monitoring: implement performance measurement and monitoring systems to track and analyze operational performance, identifying areas for improvement and proactively addressing issues
  • Identify emerging technologies and industry trends, evaluating their potential to enhance our product offerings and operational efficiency.
  • Drive the integration of cutting-edge technologies, such as AI, machine learning, IoT, and data analytics, into our software solutions.
  • Team Leadership & Development: recruitment and retention, providing mentorship and professional development opportunities, promoting.
  • Set clear goals, establish best practices, and ensure the successful execution of projects while maintaining high standards of quality and reliability.
  • Manage day-to-day operations of the company, including overseeing departments, quality assurance, project management, customer support, and infrastructure.


Time spent = 20%: Resource Management


  • Manage and allocate resources effectively to achieve operational success (i.e., oversee budgeting, resource planning, and capacity management to ensure optimal utilization of talent, technology, and infrastructure).


Time spent = 20%: Account & Customer Relationship Management


  • Project management: develop and establish action plans and monitor task progression in order to ensure deliverables are met on time and in alignment with customer contracts (i.e., regularly review performance data and provide guidance, implement efficiency measures, and support to staff on strategies for success to enhance effectiveness)
  • Oversee the management of key client relationships to ensure effective customer onboarding processes, effective and responsive communication that addresses client needs and concerns, customer satisfaction monitoring, and implementing customer retention and upselling strategies.
  • Account performance tracking: establishing metrics and systems to track performance of key accounts, including the monitoring of revenue growth, customer retention, and profitability.


Time spent = 10%: Sales & Marketing Management


  • Collaborate with the CEO and Sales position to develop and implement sales strategies and goals (i.e., analyzing market trends, identifying target markets and customer segments, and determining pricing and positioning strategies).
  • Monitor sales performance tracking metrics and implement incentive programs to motivate and reward high performance.
  • Oversee sales operations to ensure necessary tools, processes, and systems are in place and align with marketing strategy.


MINIMUM SKILLS, REQUIREMENTS & CREDENTIALS


  • 10+ years of senior leadership with experience building and developing high-performing teams, while promoting a collaborative workplace culture that drives employee engagement.
  • Exemplary planning, organizational, and time management skills.
  • Adept at financial management, budgeting, and forecasting.
  • Experience in a broad mix of start-up to medium sized companies is preferred, with an understanding of scaling operations.
  • Ability to effectively execute operational plans that align with the company’s vision and strategic direction, while identifying opportunities for operational improvements, optimizing processes, and driving cost efficiencies.
  • Detail-oriented, process-driven, and analytical, demonstrating the ability to make data-driven decisions and establish effective metrics.
  • Strong technical knowledge and understanding of software development methodologies, software architecture, emerging technologies, software development lifecycles, quality assurance processes, and industry best practices.
  • Well-rounded business acumen with the ability to monitor and understand shifting market dynamics, competitive landscapes, and customer needs.
  • Ability to pivot between high-level management and supporting the team in executing day-to-day tasks when required.
  • Bachelor’s or master’s degree in relevant field (i.e., business administration, leadership, computer science, software engineering).
  • Strong communication, negotiation, and conflict resolution skills are essential to ensure effective cross-functional collaboration.
  • Industry experience in a SAAS business is preferred with knowledge and understanding of industry trends, regulations, and compliance requirements.
