Working for the Faculty of Pharmacy and Pharmaceutical Sciences


The Faculty of Pharmacy and Pharmaceutical Sciences currently offers an accredited four-year professional Entry to Practice PharmD degree consisting of coursework and practice experience as well as multiple post-graduate programs. The Faculty services approximately 650 students per year and consistently ranks among the top three institutions in Canada. We offer high quality education and develop exceptional student pharmacists, graduate students, and post-doctoral fellows and prepare our graduates for a variety of careers in pharmacy practice, research, and teaching. Our graduates go on to influence the continuously changing healthcare field through their leadership in the areas of policy, practice, and business.


Position Summary


The Assessment, Evaluation, and Educational Technology Assistant will work as part of the Assessment and Evaluation team to support the Faculty’s assessment, program evaluation and educational technology activities. This includes, but is not limited to: direct support for assessment exam administration (e.g. creating and administering exams, implementing exam accommodations, post exam processing support), evaluation activities (e.g. focus groups, surveys, data entry and collection, generating reports). This role will also provide direct educational technology support for the delivery of programs (e.g. basic training on essential core tools such as mentimeter, learning management systems and zoom, some seminar technology support to facilitate interactive learning, and back up for technology failure in lecture theaters).


Duties


Assessment activities


  • Proctor on site exams and assist in the creation of the exam invigilator schedule for faculty exams
  • Respond to student assessment email inquiries
  • Assisting with uploading of exam grades and processing of item statistics for faculty reports
  • Assisting with any post exam changes as directed by the course coordinator
  • Aide in the creation of assessment software tutorials (e.g.exam-taking and assessment procedures, uploading grades procedures)
  • Troubleshooting onsite and remote exam related technology issues
  • Primary point of contact for faculty examination related needs including releasing exams, setting up exam review sessions, and post exam communications
  • Coordinating remote exam proctoring needs for faculty exams using Smart Exam Monitor (SEM) including setting up SEM sessions and post exam recording audits
  • Copying/creating new exams, editing exam questions and problem-solving special requests
  • Creating exam administrations for accommodation students in all courses
  • Providing assessment and technical support for Objective Structured Clinical Exams (OSCEs)
  • Supporting the delivery of Computer Based Exams for PharmD and CCPP programs including:


Evaluation activities


  • Assisting with the processing of survey results and focus group recordings including transcription, and coding for report creation
  • Administrative support for regular evaluation milestones when required (i.e university reviews and accreditation site visits)
  • Preparing student performance and post placement reports for Experiential Education
  • Supporting data analysis work as required to populate annual and ad hoc reports
  • Assisting with the submission of Student Perception of Teaching requests from Faculty including enforcing deadlines and submitting requisitions
  • Data downloading/uploading/entry as required
  • Supporting the annual implementation of ongoing program evaluation activities
  • Supporting the creation of ongoing program and adhoc evaluation reports
  • Preparing and updating surveys and initial processing of evaluation data
  • Creating ad hoc guest lecturer surveys in qualtrics


Educational Technology activities


  • Providing technical support for the delivery of educational sessions in the Faculty of Pharmacy and Pharmaceutical sciences including but not limited to:
  • Providing other direct in-person technical support for the delivery of session as needed
  • 1 on 1 training and educating Faculty and Staff on how to use tools to record and present lectures
  • Supporting the management and facilitating access to physical educational technology tools (e.g. chrome books, ipads, laptops, microphones, etc.)
  • Aide in the creation of educational technology tutorials (e.g. setting up tools on course pages using moodle, uploading grades)
  • Providing support to facilitate access to learning for students with accommodations that require the use of additional educational technology
  • Providing direct in-person technical support for the delivery of sessions that involve hybrid small group learning (i.e. seminars)


Administrative activities


  • Performing data entry to assist with curriculum mapping using a university syllabus management tool
  • Monitoring and general upkeep of file structures for assessment and evaluation data and document management
  • Drafting and distributing assessment committee agendas and meeting minutes
  • Performing data entry to assist with outcome mapping using a student diagnostic feedback tool


Minimum Qualifications


  • Familiarity with Learning Management Systems, Assessment delivery software, web-based survey tools
  • Minimum of a high school diploma or relevant post-secondary training; diploma or certificate preferred.


Preferred Qualifications


  • Experience with google suite of applications as well as Mac and Windows word processing and spreadsheet applications.
  • Understand the principles of confidentiality and academic integrity.
  • Knowledge of post-secondary education systems is an asset.
  • Ability to adapt to changing circumstances and work effectively with diverse teams and individuals.
  • Solid understanding of both macOS (for Mac) and Windows (for PC) operating systems.
  • Excellent written and verbal communication skills.
  • Proven ability to learn and understand various technology systems and/or including experience troubleshooting and technical problem-solving skills.
  • Strong attention to detail along with proven organizational skills.
