About The Role:
Canadian Blood Services is looking for a Regular Full-Time Analyst, Special Authorization to join the dynamic Medical Affairs & Innovation, Plasma Protein & Related Products (PPRP) Formulary Program.  This position reports into the Manager, Special Authorization. 

In this role, you will use specialized knowledge of pharmaceuticals and inventory management to manage the workflow of Special Authorization and Exceptional Access requests. You will take responsibility for the technical aspects of gathering information, and ensuring requests are complete and follow formulary rules. You will work collaboratively with formulary pharmacists who are responsible for clinical decision-making.

You will provide advice to Supply Chain and Logistics staff with regards to inventory management of products that require Named Patient Contracts (i.e., Special Authorization or Exceptional Access). You will be responsible for providing ongoing Medical Case Management (MCM) and SAP support including data management, reporting and training. You will also help ensure that accurate and useful information is provided to management and stakeholders for decision-making purposes.
 
Key Responsibilities:

  • Manages workflow for Special Authorization Requests: receiving requests for formulary products with specific eligibility criteria; interpreting and verifying the technical aspects of requests (abbreviations/terminology, calculations for dosing/vial sizes/quantities); assessing requests for completeness/accuracy; communicating with hospital customers following all formulary rules and approval policies; and interacting with logistics and distribution to ensure seamless delivery of products/services.
  • Ensures data integrity and reporting within MCM is complete and correct: providing regular reporting to PPRP Formulary Team for workload and product utilization monitoring; tracking regular patters of use (usual doses, volumes and distributions); and detecting unusual patterns of use (patient safety implications, inventory management and demand forecasting).
  • Performs other duties as required.
  • Develops, coordinates and delivers training for MCM and SAP users in the PPRP Formulary Program; updating as required.
  • Provides support and advice to MCM and SAP users, works closely with IT to correct any system issues and works with the Manager, Special Authorization to identify system efficiencies and improvements. 
  • Ensures privacy of personal health information: demonstrating professionalism, responsibility and ethics with the handling of Personal Health Information (PHI); recognizing conflicts of interest; and managing system user access and conducting periodic audits.

Education, Training and Experience:

  • A minimum of three years related experience. 
  • Sound understanding of data analysis.
  • An equivalent combination of education, training and experience may be considered.
  • University degree in a relevant discipline with experience in a pharmacy or clinic environment. 
  • Pharmacy technician licensure, as recognized by a Canadian pharmacy regulatory authority, strongly preferred, OR

Demonstrated Knowledge, Skills and Abilities:

  • Detail-oriented with strong organizational and analytical skills, with the ability to effectively manage time in a fast paced, dynamic environment where meeting deadlines is a priority.
  • Ability to work with a drug formulary and to explain formulary rules and policies.
  • Superior ability to communicate with physicians, nurses, and other hospital staff in clinics and blood banks. Understanding of challenges faced by hospital staff. Ability to remain calm and professional during difficult conversations. Ability to be firm, yet pleasant and helpful, when relaying requests for information or unwelcome decisions.
  • Effective interpersonal communication and writing skills and the ability to work in a team environment.
  • Ability to analyze, simplify and communicate data from complex sources, including the ability to produce clear and concise documents and reports.
  • Ability to work with sensitive and confidential information.
  • Understanding of the health system environment.
  • Proficiency with MS Excel and MS Word is required. Experience with other MS Office products (Sharepoint, Teams, Outlook, Visio) is an asset. Experience with SAP is strongly preferred.
  • Ability to conduct business professionally and develop strong working relationships with internal and external customers and other stakeholders. 
  • Proficiency with pharmaceutical terminology and pharmaceutical calculations. Ability to interpret physicians’ orders and prescriptions.
