Job Description

Reporting to the Manager of Advancement, this position is responsible for assisting the operations of the Advancement Office through data entry of financial information, processing deposits, reconciliation, reporting, database maintenance, and executing communications plans targeting internal and external stakeholders. The Advancement Operations Assistant also supports the Selkirk College Foundation Board of Directors and members.

This position will support the building of partnerships and foster collaborative relationships across the institution and community. The successful candidate will be intellectually curious with effective communication, and problem-solving skills. They will be motivated to work as part of a team or as an individual contributor.


Main Duties and Responsibilities

  • Provide an organization support for the Selkirk College Foundation Board of Directors and membership by collecting, assembling, coordinating, and distributing agendas, presentation materials, reports and notices of meetings to the Board and its sub-committees; Attending Board and Board sub-committee meetings; recording, transcribing, and distributing minutes; Posts and maintains materials for the Board and its sub-committees on the relevant technological platforms/databases, including maintenance of a resolutions registry and important deadlines calendar.
  • Coordinates communication plans that acknowledge, thank, and engage donors by producing weekly and annual mailing tax and non-tax receipts for all gifts and sponsorships for Selkirk College & Selkirk College Foundation; Handling lost and cancelled tax receipts and related reissues for Selkirk College & Selkirk College Foundation, managing donor lists and coordinating mailings for acknowledgement and stewardship of various levels of giving and types of donors.
  • Maintains a high functionality and accuracy of the donor database and charitable fund ledger by conducting regular audits of gift, constituent, fund, award, and other records and making any necessary corrections; coordinating the regular maintenance of database configurations (field names and options, tables, lists, categories, attributes, etc.) and any required updates.
  • Provides advancement accounting functions, including depositing all gift and sponsorship cheques and cash weekly for 2 entities: Selkirk College & Selkirk College Foundation, producing revenue reports, electronically processing journal entries for specific gifts, gift fees, intercompany transfers, and adjustments.


Skills, Knowledge and Abilities

  • Superior systems thinking;
  • Knowledge of accounting principles;
  • Proficiency in Microsoft Suite (including Word, Excel, and Outlook);
  • Excellent interpersonal skills;
  • Excellent and professional written and verbal communication skills (clear and concise);
  • Superior attention to detail;
  • Proven ability to work independently and as part of a team;
  • Advanced knowledge of how committees function, including setting agendas and taking minutes;
  • Adaptive and quick learning.
  • Demonstrated aptitude for learning new skills as changes in activities & technologies occur;


Education and Experience

  • Valid BC Driver’s license.
  • Experience with CRM systems and/or other database management programs.
  • Minimum 2-3 years related experience with CRM systems and/or other database management programs. Familiarity with Raiser’s Edge NXT, Financial Edge NXT, or Blackbaud University Certifications is considered an asset;
  • Diploma in Applied Business Technology, Business Administration, or Office Management; Alternatively, a combination of other education and experience will be considered;

This is a Regular Part time (50%) position commencing July 11, 2023. Salary will be Pay Grade 8, $29.16 per hour (Subject to JE Review) in accordance with the Selkirk College PPWC Collective Agreement.
