We are currently seeking candidates for the position of Administrative Specialist to support our Marketing & Human Resources departments.

- Provides high-level administrative support and assistance to the Director, Marketing and Packaging and the Director, Human Resources
- Other duties as assigned
- Coordinates purchase orders and tracking for all marketing and packaging materials
- Coordinates Tradeshow registrations & materials, hotel reservations, marketing POS materials, event documentation and sample requests
- Coordinates the recruitment and onboarding process including but not limited to preparing job postings, screening applicants, scheduling, and participating in interviews, conducting reference checks, prepare and send follow-up emails
- Coordinates the distribution of marketing materials and presentations, including Press Releases
- Administration of forms, policy, and procedures for Canada & US
- Performs office tasks including, maintaining records, ordering supplies, and completing basic bookkeeping, including invoices and expenses
- Supports project management process for new launches, continuous improvement initiatives, and sustainability projects
- Manages social event coordination; coordination of workshops, special projects and events
- Manages or assists with the review and updating of employee job descriptions
- Ability to work independently without direct supervision and as a member of a team or committee
- Advanced computer skills including proficiency with Microsoft Office Suite (Outlook, Word, Excel, Power Point)
- Three to five years related experience, or equivalent combination of education and experience
- Degree or diploma in business administration or a related field required
- Superior organizational, problem-solving, and analytical skills; able to manage workflow
- Keen attention to details
- Excellent communication skills, both verbal and written
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
- Sitting and standing for an extended amount of time may be required
- May be required to work overtime as needed
- Occasionally required to lift less than 15 pounds
