Job Description

Established Boutique Commercial Real Estate Brokerage located Midtown Toronto is seeking a professional, organized and experienced Administrative Assistant & Office Manager to join their team. The Administrative Assistant & Office Manager will perform specialized tasks related to the administrative, research and marketing requirements that support the Principal Broker. The ideal candidate enjoys providing a variety of administrative and office support and works well independently.


Responsibilities:

  • Creates invoices and expense reports
  • Miscellaneous administrative, research and marketing responsibilities as required.
  • Independently creates presentation materials, which include designing brochures, preparing tenant surveys or other specialized reports, developing property locator maps, etc.
  • Contributes to creation of client offers, presentations and proposals.
  • Ensures files and databases are kept up-to-date.
  • Researches, compiles, and verifies information for standard and special reports.
  • Attends the appropriate meetings with the professional(s).
  • Manages the office supplies, mail, phone calls, and emails.
  • Ensures the accurate and timely dissemination of marketing materials, faxes, couriers, etc.
  • Keeps the Principal Broker organized and arranges meetings, presentations and functions as required.
  • Compiles packages of property data, which contain material specifically tailored to each client.


Qualifications

  • 5-10 years of administrative or office management experience.
  • Ability to work independently with little supervision.
  • Strong ability to with multiple projects and deadlines.
  • Excellent written and verbal communication skills.
  • Exceptional organization skills and ability to work independently
  • Post-secondary education is required; industry related experience would be an asset.
  • Individual should be highly motivated, proactive and show initiative.
  • Excellent computer skills required, such as Word, Excel, Google Maps, Adobe Photoshop, Adobe InDesign.
