Generic Summary


Under the direction of the immediate supervisor, performs various accounting functions and secretarial duties. Authorizes various financial commitments according to established procedures. Verifies, analyses and records accounting transactions using automated financial systems. Investigates and follows-up on discrepancies or other accounting and administrative matters as required. Types documents, answers telephone, receives visitors, updates information systems, and maintains files.


Major Duties And Responsibilities


Answer phone calls


 Respond to emails


 Respond to messages on the voicemail


 Book emergency appointments


 Book ortho screening appointments


 Confirm emergency appointments


 Confirm ortho screening appointments


 Contact patients that are “no shows” on the day of their appointment


 Check-in patients as they arrive


 Verify financial records+ make sure medical forms and consent is entered


 Take all payments


 Craniofacial booking+confirmations


 Handout pink slips for delivery of appliances once balance is paid in full


 Give patients “medical notes” for work/school.


 Call taxi in case of needle injury and give out taxi ticket


 Give out parking passes to clinicians


 Ordering coffee, replenishing


 Check and replenish plaster room with boxes (classic, oral design…)


 Make sure students are billed out of abeldent and codes are properly entered in a timely


manner (end of day)


 Answer all inquiries from students


 Send out mail i.e: income tax, forms, insurance papers…


 Receiving deliveries/packages


 Help Patient service coordinator with OD bookings


 End of day: Close the finances and balance


 Submitting outreach reports and correcting errors


 Pedo clinic booking+chart creation


 Lab work (ordering supplies, pick ups, checking cases)


Monthly tasks: Enter late bookings


Your Yearly Tasks: Distribute/receive locker keys 3 times a year (September, December, January). -----


Creating abeldent accounts/passwords (Jim Lund and here)


Mipacs accounts/passwords


ID cards


Education And Experience


  • DEP (Accounting or Secretarial)
  • 2 years of related experience


Minimum Education And Experience


DEP - Business Administration 2 Years Related Experience / DEP - Secretarial Studies


Hourly Salary
