Position Job Title: Academic Assistant (Front desk)


Location: Toronto, Ontario


Reports to: Academic Director


Job Summary


Fleming College, Toronto Programs is a public college-private partnership between Fleming College and Trebas Institute, with academic delivery and student support services managed by Trebas Institute.


The Academic Assistant plays an essential role as the first point of contact in the front desk for the Academic Department. The Academic Assistant will support the Academic Director with various administrative task relating to the day-to-day academic operations.


Responsibilities


  • Assisting with the coordination and planning of academic events such as orientation sessions, information sessions, workshops, and academic conferences. This may involve scheduling rooms, arranging logistics, preparing materials, and supporting event attendees.
  • Providing support to students regarding academic programs, course registration, enrollment procedures, and graduation requirements. You may also assist students with inquiries related to academic policies, procedures, and deadlines.
  • Being the first point of contact for visitors, students, faculty, and staff, and providing them with information and assistance.
  • Assisting in special projects assigned by the Academic Department, such as surveys, and data collection.
  • Ensuring accurate and up-to-date documentation of academic-related information, such as student records, faculty evaluations, and departmental reports.
  • Assisting with general administrative tasks such as maintaining records, managing files, organizing documents, and handling correspondence. This may also involve data entry, scheduling appointments, and maintaining office supplies.
  • Performing other miscellaneous duties as required.
  • Collaborating with faculty members and department staff to support various academic department activities.
  • Serving as a liaison between the Academic Department and other college departments, such as Admissions, Registrar's Office, and Financial Aid. This includes coordinating information sharing, resolving issues, and facilitating effective communication.


Position Requirements


Education and Experience


  • A post-secondary diploma in an appropriate discipline.
  • Minimum of 1-2 years of experience at an administrator’s level at a Post-Secondary Institution.


Knowledge and Skills


  • Demonstrated experience of dealing with international student needs and issues
  • Experience working with Learning Management Systems – Canvas (strong asset)
  • Ability to work independently as well as a team member.
  • Excellent communication and interpersonal skills.
  • Excellent problem solving and conflict resolution skills.
  • Strong analytic skills, with experience using Excel and other software a definite asset.
  • Highly proficient with Microsoft Office Products and Sharedpoint, especially Excel, Word, and PowerPoint.
  • Dynamic individual with knowledge of creating positive learning experience for adult learners.
