The Team Leader, Office Services is a pivotal member of the Office Services team reporting to the Senior Manager, Client and Office Services. This role provides leadership and direction to the Office Services team and will be responsible for developing best practices and processes in order to deliver exceptional client service to internal clients. This position will also participate and support in various initiatives across the firm. We are looking for someone who is a self-starter, a problem solver, and has a mindset of continuous improvement. This position requires flexible hours to accommodate the firm’s needs.
Responsibilities:
- Lead and guide team, monitor and audit daily activities and ensure duties are carried out as per best practices and guidelines
- Focus on team building and skill development in order to foster a positive and supportive team culture
- Other special projects & duties as assigned
- Provide assistance to others during absences as needed
- Lead key projects, identify opportunities for process improvements & efficiencies, apply creative & innovative solutions, monitor industry trends for future planning
- Oversee and approve department invoices, review department budget on a monthly basis to ensure that targets are being met
- Manage full cycle of annual goal and performance reviews, identify team and individual training needs, promote open and transparent feedback to ensure team member and departmental success
- Build and retain a high performance team that is capable of ensuring consistent delivery of results while working within tight parameters and quick turn-around timelines
- Create a shared vision for the team; helping team members understand departmental impact on the client experience
- Oversee the hiring and onboarding of all new team members, training plans and timelines, professional development plans, as well as succession planning
Requirements:
- Proficiency in role-specific software, including Copitrak
- Solid written & verbal communication skills, a self-starter with a strong work ethic, and a team player with excellent client service skills
- 3-5 years of relevant experience within a professional services environment
- Strong knowledge in MS Office applications (Word, Outlook, Excel, PowerPoint, Teams) and Adobe
- A college diploma or equivalency
- 3-5 years of experience leading a team
