Team Leader, Investments - Eastern Canada

The primary focus of the Team Leader Investments is to ensure team service levels to advisors are maintained and to effectively facilitate the processing of segregated fund trades, providing administrative support within the scope of the role to ensure all tasks are processed in a compliant, accurate and timely manner and service standards are maintained.

The Team Leader will supervise and mentor assigned Investments staff, fostering a team that works together to deliver service levels and follows national processes, including, organizing and monitoring the team’s work processes to ensure work is completed in a timely fashion. The Team Leader will also work closely with the Manager, National Investments to assist in the accomplishment of team and department objectives.

Key Responsibilities:

• Work with the Manager, National Investments to effectively accomplish department objectives/SMART goals and help to organize and monitor work processes to ensure all work is completed on a timely basis.
• Maintain a high degree of industry and product knowledge, understanding the competitive market, and remaining current on industry trends and initiatives
• Track and follow-up on pending transfers with carriers.
• Perform immediate follow up with advisors regarding missing information, supporting documentation, information discrepancies and unclear instructions.
• Additional responsibilities, duties and special projects as identified.
• Ensure that there is appropriate backup for team members during absences and as required.
• Facilitate the processing of segregated funds, GICs and other investment products with insurance carriers ensuring process protocols and service standards are consistently met.
• In conjunction with the Manager, National Investments, provide, on-going supervision to the Investments Team including monitoring workflow, setting clear expectations, conducting performance reviews, addressing performance issues, attendance and vacation scheduling and approvals, training, and the recruitment of new staff.
• In conjunction with the Manager, National Investments, coordinate and work with software vendors (iPipeline/WealthServ) in relation to upgrades and system releases. Ensure all testing is done for any new releases to the system and all investment staff are prepared and trained, if necessary.
• In conjunction with the Manager, National Investments, coach, mentor and provide ongoing development of the Investments Team through on-the-job feedback and training.
• Look for efficiency opportunities and/or service improvements and work to incorporate into national processes. Leverage tools and technology wherever possible.
• In conjunction with the Manager, National Investments, facilitate operational changes related to software vendor upgrades in response to FundServ releases.
• Manage incoming and outgoing Investments mail to ensure all service standards are met
• Provide backup to team members during absences and as required.
• Manage and maintain weekly reports for the management team as requested and required.
• Effectively resolve issues, questions or complaints as they pertain to investments.
• In conjunction with the Manager, National Investments, develop, test and document new processes for investments team members, as required.
• Ensure the team assumes ownership of assigned files and quality of data, including recognizing any urgencies and assisting in the resolution of problems that may prevent a file from moving through the process as quickly as possible.
• Establish and facilitate new client accounts in the WealthServ Investment System.
• Meet with and establish relationships with carriers and advisors for Segregated Funds processing
• Provide support to regional dealer offices on technical issues, daily investment trading, general processing questions, ongoing training and any other questions related to investments.

Education, Experience and Skills:

• Excellent French and English language skills, both oral and written due to frequent interactions with French and English-speaking colleagues, internal partners and clients across Canada
• Knowledge of WealthServ and Microsoft Office programs; Outlook, Word, Excel and PowerPoint in particular
• Superior interpersonal skills with proven ability to develop and maintain relationships
• Ability to represent self, office and organization in a professional, positive manner at all times
• Previous experiencing in the supervision/leadership/mentoring of staff
• Demonstrated ability to organize self and others while handling multiple priorities
• Industry designation(s) (FLMI, ACS, AIAA) desirable
• A minimum of 5-7 years' experience in the investment industry
• Expert organizational and time management skills with proven ability to handle high volumes of work and tight deadlines
• Creative problem solver with highly developed critical thinking skills
• Ability to handle sensitive and confidential information in a professional manner
• Proven accuracy, attention to detail and data entry skills
• Demonstrated leadership skills with the ability to work within and promote a team-based environment to reach department objectives and goals
