The School of Library and Information Studies (SLIS) offers the Master of Library and Information Studies (MLIS); a professional, graduate degree accredited by the American Library Association available online and on-campus, and two combined dual-degree programs. In 2022-2023, SLIS had approximately 260 graduate students, 8 full-time faculty members, 14 academic teaching staff, 3 adjunct professors, and a Director.
Position Summary
Reporting to the Academic Faculty Manager, this position is responsible for providing general administrative support to the School of Library and Information Studies including general administration, information management, communications, promotion, advertising, travel coordination, event coordination, and special projects. The Program Assistant - SLIS is committed to continuous improvement, and ensures that the students, staff, faculty, and Director in the School of Library and Information Studies (SLIS) experience the level of service excellence that defines the University of Alberta.
Duties
  • Provides executive assistant support to the Director of SLIS.
  • Manages area communications, including email, web sites, newsletters, and surveys.
  • Maintains area records including identifying, collecting and managing data required for program accreditation and coordinating calendar changes as required.
  • Coordinates committee meetings including scheduling, preparation of materials, recording minutes, and preparing reports.
  • Initiates and/or contributes towards special projects on an ad hoc basis.
  • Responsible for the School’s day-to-day administration tasks.
  • Coordinates special events with both internal and external stakeholders.
  • Liaises with Educational Student Services to provide consistent support to program staff and students.
  • Works to promote and advertise the MLIS program in a variety of mediums and venues.
Qualifications
  • A commitment to the University’s Indigenous initiatives, and principles of equity, diversity, and inclusivity.
  • Ability to self-start and anticipate the needs of the program, and its staff, students, and stakeholders.
  • Strong administrative and communication technology skills, including advanced knowledge of the entire Office suite of tools, Google suite of tools, Zoom, Moodle (eClass), social media, web content management systems, and others.
  • Diploma in Business Administration or Management. A bachelor’s degree, in a related field is preferred.
  • A commitment to continuous improvement and service excellence.
  • Knowledge of the post-secondary environment, preferably within the context of the University of Alberta and/or graduate programs.
  • Excellent problem-solving and critical thinking skills.
  • Ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels.
  • Excellent oral and written communication skills with many types of stakeholders from a wide variety of social and cultural backgrounds.
  • Ability to work both independently with minimal guidance, and collaboratively with others.
