Position Summary
We are hiring a Program Coordinator that will support Faculty Development. This position is part of a team of Program Coordinators in Advancement Services that act as partners to their assigned unit by working with the Director of the assigned unit to provide comprehensive program services to the unit, and its members. They will provide expertise in the areas of data analysis, campaign planning implementation, project management, monitoring, advising, reporting and resolving operational, strategic and planning activities related to Development. This position works independently and collaboratively, requiring excellent judgment, common sense and an ability to work under very challenging time constraints due to the many and varied priorities within Development.
Duties
  • Coordinates program functions, ensuring briefing notes and binders, background dossiers, speaking notes, agendas and consultation on strategic approaches to issues is prepared for meetings, events, and other engagements.
  • Leads all program logistics for committees, special meetings, seminars, in-house training and other events.
  • Coordinates and arranges meetings for programs that may include donors, administrative leaders, academic leaders and other stakeholders.
  • Researches, collects and analyzes data and information regularly and uses it to create reports for advising, analysis, reporting, gift documentation and other program management and delivery requirements.
  • Screens, processes and replies to incoming requests and correspondence for the program.
  • Proactively ensures the completion, delivery and follow-up of activities/tasks associated with multiple units or the Director’s projects.
  • Manages implementation of donor marketing and solicitation programs including implements the program schedule, edits copy, drafts invitations, creates supporting material.
  • Organize Faculty Development’s participation and strategy in fundraising campaigns, which will involve the development and coordination of both institutional and faculty/unit-based campaign projects.
  • Completes program services and activities efficiently and accurately, including (but not limited to) administrative functions that support the program. Follows up with fundraisers to ensure contact reports, proposals, agreement system matters and other metrics are updated in various systems on time.
Minimum Qualifications
  • Ability to analyze data and use technology to gather, interpret, and organize data and results.
  • Strong problem solving and critical thinking skills.
  • Ability to communicate with diplomacy and tact.
  • Ability to work with many different levels of staff and to thrive in a complex, fast-paced, high volume environment.
  • Project management experience in a deadline-oriented environment.
  • Demonstrated high ethical standards of behavior, sound judgment, thoughtfulness, respect for confidential information, and exceptional attention to detail.
  • Post-secondary degree or diploma required with a minimum of 5 years professional experience.
Preferred Qualifications
  • Experience with Advance or other donor data management system is preferred.
  • Preference will be provided to individuals with experience working in a fundraising environment, supporting complex and varied areas of development.
