Job Description
Position Overview
This opportunity is currently available for internal applicants only as THERE IS A STRONG INTERNAL CANDIDATE FOR THIS POSITION.
Facilities Management is currently seeking a Full-time Limited Term Senior Data Entry Specialist for approximately 12 months.
Facilities Management Operations & Maintenance, Lock Shop, requires a Senior Data Entry Specialist for a Limited Term Full Time position, for an expected duration of 12 months. The Lock Shop manages the data on building/room keys. Working on site with the Lock Shop team, the primary purpose of this position is to simultaneously validate and transition the keying data from approximately 450 manually annotated hardcopy floor plans and 70 campus electronic building floor plans into a key management database, correlating keying to rooms. The Senior Data Entry Specialist will be working closely with the Lock Shop team to ratify variances. Must be able to work independently in a fast-paced environment. Direction and guidance will be assigned by the Lead Hand or Lockshop Coordinator. This position reports to the Supervisor, Facilities Management Operations.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
  • Participate in cross training to assist in other areas when needed and to meet Lockshop Administrative Services priorities
  • Adhere to all university policy and regulatory requirements, including FOIP legislation
  • Work closely with the Lockshop Lead Hand, Lockshop Coordinator and Locksmiths on strategic planning as required
  • Develop and implement communication plans to ensure that all Lockshop team members are apprised of their project accountabilities and the project status
  • Establish, implement, track, and evaluate lockshop data
  • Develop high-quality presentations of data and room keys, ensuring proper university policies are followed
  • Create communication materials for strategic projects
Qualifications / Requirements:
  • Knowledge of University policies, procedures and the Operations & Maintenance Department will be an asset
  • Amenable to Police Records Check
  • Must have the ability to work independently and as part of a team, be pro-active and self-directed
  • Superior attention to detail, organizational and planning skills with ability to cope with multiple demands
  • Attention to detail critical
  • Proven experience with University Policies and Procedures
  • Experience working with floor plan drawings beneficial
  • A high degree of professionalism, integrity, and ability to handle confidential information
  • Excellent computer skills, competency, and knowledge of ARCHIBUS and Microsoft Office Suite preferred
  • Experience collecting, assessing, analyzing, and summarizing information and developing recommendations for final approval and implementation
  • Exceptional interpersonal skills, and experience interacting with a wide range of internal and external personnel at all levels
  • A undergraduate degree is considered an asset or Community College diploma in Office Administration
  • Experience in a Facilities Management organization will be an asset.
  • Excellent organizational skills required
  • Excellent command of the English language, both oral and written
  • One year of experience in a high-volume office environment required, preferably in the post-secondary context and including document management and data entry
