Pediatric Oncology Group of Ontario (POGO) works to ensure that everyone affected by childhood cancer has access to the best care and support. We partner to achieve an excellent childhood cancer care system for children, youth, survivors, their families and healthcare teams in Ontario and beyond. POGO champions childhood cancer care, and as the collective voice of this community, is the official advisor to Ontario's Ministry of Health on children's cancer control and treatment. POGO is a non-profit organization with charitable status, here for kids with cancer, for now, for life.
Here’s What You Will Do
The Program Assistant, Education and Engagement will complete a broad variety of tasks that support POGO’s clinical education strategy and patient, family and survivor education and engagement strategy. Specifically:
  • Research and recommend event platforms/technology to support virtual events;
  • Other activities as needed to uphold POGO’s reputation as a provider of first-rate professional education for pediatric oncology health professionals.
  • Venue research and booking site inspections for in-person events;
  • Coordinate all aspects of event registration, including creating participant badges and facilitating onsite registration;
  • Coordinate logistics for in-person and virtual conferences and other events, including:
  • Coordinate logistics of virtual events, including scheduling test sessions
  • Coordinate onsite aspects of events day-of, both in-person and virtual;
  • Book travel arrangements for speakers/VIPs and coordinate expense reimbursement;
  • Coordinate onsite vendors, such as audio-visual & entertainment;
  • Disseminate participant evaluations and summarize event feedback;
  • Conduct records management;
  • Prepare meeting and work schedules/critical paths;
  • Track attendance at planning meetings, draft agendas, record minutes / action items as required, and conduct appropriate follow-up;
  • Generate and/or edit documents, records and reports;
  • Ensure the privacy and security of personal health and confidential information.
  • Schedule advisory committee and planning meetings;
  • Support Education and Engagement projects:
  • Assist with the development of promotional content for all education and engagement-related projects, including web pages, social media and email campaigns;
  • Communications:
  • Create and maintain distribution/contact lists in accordance with Canada’s Anti-Spam Legislation;
  • Assist with developing written communication to support various projects (i.e. drafting invitation and thank you letters for committee members, speakers, vendors, volunteers, etc.)
Here’s What You Will Need To Be Successful
  • Strong written and verbal communication skills;
  • Completion of college diploma in business administration, event management or other relevant field;
  • 1-3 years’ work experience in event coordination and/or project coordination, including in-person and virtual educational events. Experience in healthcare/clinical education or non-profit sector is considered an asset;
  • Exceptional organizational skills and impeccable attention to detail with a high degree of accuracy;
  • Customer service oriented with strong relationship management skills;
  • High degree of professionalism and discretion in dealing with different stakeholders including clinical leaders, patients, families and survivors, etc.;
  • Willingness to work flexible hours, including evenings and occasional weekends
  • High proficiency in MS Outlook, PowerPoint, Word, MS Teams. Basic proficiency in MS Excel and Wordpress. Experience in Zoom webinar, EventMobi, Sli.do and Raiser’s Edge an asset;
