The Product Coordinator is responsible for establishing and maintaining relationships with suppliers and external business partners to facilitate business growth and profitability.
Essential Duties and Responsibilities*
Supplier Relations
• Establish and maintain positive working relationships with suppliers and external business partners
• Effectively communicate with suppliers with regards to commercial issues, pricing, package size changes and MOQ adjustments with the goal of maximizing profitability for the division
• Arrange supplier visits and participate in supplier meetings to share knowledge and support the development of strategies to maximize commercial success
• Communicate customer opportunity updates and technical product inquiries to suppliers, with VP Principal Management approval
• Use literature, samples, and documentation from suppliers to facilitate and share product knowledge with the sales team
Customer Relations
• Establish and maintain positive working relationships with customers
• Act as a liaison between customer service and the customer on any product order issues, such and pricing, delivery, and documentation
• Communicate with Sales on any product issues and requests their involvement on situations that requirement immediate action and/or resolution
• Notify customers of supplier, product, and documentation changes via appropriate communication platforms (e-mail, fax, telephone, etc.)
Costing and Pricing
• Determine cost and get direction from VP Principal Management on price setting for new business opportunities; provide quotations to Sales Coordinators/Account Managers
• Create, maintain, and update costing templates and budgetary price lists
• Coordinate with Operations team to determine input costs for new product development projects and conducts cost analysis and pricing
Product and Inventory Management
• Monitor inventory levels and the replenishment process to ensure stock levels are adequate based on regular/seasonal requirements as well as contractual agreements
• Work with the VP Principal Management to establish, review and adjust minimum and maximum inventory level standards
• Work closely with the Regulatory and Quality Manager on matters regarding documentation and regulatory concerns arising with commercialization of new products
• Collaborate with the logistics team on procurement of products and the customer service team on customer-related solutions
• Coordinate special product labeling, repackaging, and blending with internal teams and create work orders as required
• Request documentation and technical information from suppliers for all products
Reporting
• Using profit margin reports, identify unacceptable margins, and investigate reasons why margins might fall outside of expected levels
• Provide monthly forecast updates to key suppliers
• Collaborate with Accounting to ensure supplier rebates are accurate
• Manage, track, and report opportunity pipeline, and coordinate updating with Sales
• Track Net Working Capital and Gross Profit performance and support team for improvement on these metrics.
Administration
• Use a standardized template to email prepared quotes to customers; if there is sensitivity, the quote is sent to the Account Manager for presentation to the customer
• Respond to customer or sales requests for existing product documentation and coordinate requests for new documents or customer questionnaires with appropriate team members
Sourcing
• Manage custom sourcing projects on an as needed basis
• Seek out spot or trade opportunities to supply ingredients
• Assist sales team with sourcing needs for special projects and opportunities.
Other
• Support and lead by example, Barentz’ culture, strategies, pillars, and fundamentals
• Participate in ongoing professional development opportunities
• Perform other duties as requested
Required Education, Experience, Knowledge and Skills
• Bachelor’s degree preferred in Business Administration or Marketing
• Previous industry experience desired working with customer and suppliers in a Product or sales capacity
• Software knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint, and Teams
• Familiarity with Customer Relationship Management (CRM) software
• Effective written and verbal communication skills, and ability to adapt communication style to the audience
• Good judgment and professionalism when dealing with customers, suppliers and internal team members
• Dynamic personality with an ability to work effectively independently and as part of a team
Detail oriented with sound analytical and problem-solving capabilities
• Strong organization skills with the ability to work in a fast paced, deadline driven environment
• Ability to adapt to changing priorities and balance workload to meet new business requirements
• Ability to negotiate win-win situations
