As the initial face and voice of our company, you will play a crucial role in welcoming and assisting our valued customers and suppliers in addition to being an integral part of our team.

What we’re looking for in a successful applicant:

·High School Diploma.

·Post-secondary education in business, computers, or office management is an asset.

·Strong organizational skills with great attention to detail.

·Excellent verbal and written communication skills.

·Proficiency in word processing, spreadsheet, email, and web functions.

·Ability to work both independently and collaboratively in a team environment.

·Valid G driver's license.

·Personality traits: cheerful, friendly, helpful, enthusiastic, and confident.

More about the role:

Reception Duties:

·Answer incoming phone calls and inquiries with a professional and courteous manner.

·Direct phone calls to the appropriate staff members promptly.

·Provide accurate information and respond to general inquiries.

·Greet clients, suppliers, and visitors warmly and professionally.

·Maintain a well-organized and inviting reception area.

·Assist in light cleaning duties and office upkeep alongside all members of staff as part of our LEAN Six Sigma initiatives

·Follow opening and closing procedures diligently.

Office Administration:

·Utilize word processing, spreadsheet, and database software to prepare reports and documents.

·Sort and dispatch outgoing faxes, mail, and courier parcels.

·Manage and maintain office supply inventories

·File materials according to established procedures in a timely manner.

·Provide secretarial and administrative support to the Accounting Specialist and other team members.

·Assist senior management with general tasks and assignments.

·Retrieve and organize incoming mail daily.

·Proficiently handle phone software systems for call transfers.

·Prepare necessary border paperwork as required.

·Assist staff with communication requirements, as needed.


Assist with Accounting Management:

·Utilize computer software to prepare accurate invoices and statements.

·Receive and review statements, promptly addressing any errors or omissions.

·Compile invoices and reconcile discrepancies with source documentation.

·Maintain proper filing of financial records following established procedures.

·Process accounts payable with a focus on timeliness and accuracy.

·Ensure prompt processing of accounts receivable as required.

·Assist with generating financial reports as needed.

·Input data weekly for International Fuel Tax Association (IFTA) reporting.

·Provide accounting support for other affiliated companies as necessary.
