Position:Marketing Coordinator, Special Projects

Department:Marketing & Communications

Reporting Relationship:Reporting to the Director, Strategic Initiatives & Business Development, under the direction of the CEO



About the Responsibilities

The Chamber hosts events and programs for our members. Your role will be to support these initiatives through marketing promotion and occasional assistance with event execution.


Main area of responsibility

•Responsible for the Chamber’s online presence through social media & communication channels.

•Responsible for coordination of the creation, implementation, and measurement of marketing across all channels for programs and initiatives.

•Chamber’s overall growth within the community.

•Provide monthly social media and marketing tracking reports (analytics)

•Submit monthly content calendar in coordination with Marketing Department.


Marketing & Communications

oCreate and send-out bi-weekly Events E-Blast.

oCreate video content to promote events and programs.

oAssist in assembling and sending out press releases ahead of, and after, events to amplify the Chamber’s messaging & awareness.

oAct as the liaison for any on-site photographers, videographers, and media at live events.

oCreate content to promote Chamber events & programs on Facebook & Instagram.

oCreate and implement social media advertising campaigns to promote events.

oWrite and plan blogs for upcoming events & programs.

oMonitor analytics and create strategies to increase engagement.

oPartnerships with bloggers/ insta-influencer/ women’s organizations across Canada etc.

oAssemble post-event wrap-up reports for the Sponsorship/Sales teams.

oSet-up, and execute interview recordings, as necessary.


Event Execution

oAssist the Events Team (Event Manager & Event Coordinator) with general responsibilities of event set-up, tear-down, and execution for the wide range of event needs in our annual calendar.

oSuccessfully execute and produce every virtual/hybrid event, and/or lead the production/streaming requirements for every virtual/hybrid event (via Hopin and/or Streamyard).

oProvide technical support and guidance to any virtual participants leading up to and during the virtual event experience.

oRecord content throughout events to be used in the promotion of upcoming events.


Diversity, Equity, Inclusion Committee Support

oAttending monthly DEI committee meetings.

oCreate monthly agendas and take meeting minutes.

oWork closely with members of the DEI committee to ensure marketing deliverables are completed.

oOrganize notable DEI calendar days throughout the year and plan content accordingly.

oEnsure the GKWCC team is following best DEI practices (hiring, social posts etc.)


Physician Recruitment Support

oCreate quarterly physician recruitment reports.

oManage and maintain physician recruitment website and twitter account.

oAcknowledge and thank sponsors of the Physician Recruitment Program on social media.

oUpdate logos as needed.

oWork with Physician Recruitment Lead to create collateral for Physician Recruitment Weekend (such as the Physician Recruitment magazine).


Other areas of responsibility

  • Member Retention program tasks and phone calls to members monthly.
  • Edit video content following event (using PowerDirector 365), and upload to YouTube and share with event attendees.
  • Working with and supporting the Chamber staff team with member services initiatives and administrative duties:


Other Duties as Assigned – As you would expect, the Non-Profit Industry is unpredictable and requires you to adapt to many different situations at a moment’s notice. As such, there are always “other duties” that come up unexpectedly that you should be prepared for.


About You

•Tech Savvy: You are comfortable adapting to new forms of technology and using various platforms (social media, video communications, virtual events, etc.). You are proficient in Microsoft Office and have at least a basic knowledge or interest in photography, videography, video editing, live productions, and/or graphic design.

•You’re Proactive. You see problems before they become one. You work well under pressure or in high stress environments and can calmly (and confidently) come up with a quick solution.

•Adaptable. You have a flexible schedule and can work early mornings/late evenings, as required. Travel will be required around Waterloo Region to event venues and/or scheduled pick-ups and deliveries of supplies and donations from partners. Mileage will be reimbursed for work-related activities, but this role requires a valid driver’s license and access to a reliable vehicle.
