The Opportunity


The Team Leader Manager is responsible for overseeing the activities of all Appletree Medical Centres within their designated region. The Team Leader Manager will be the point of contact for their respective centers, and attend weekly meetings with the VP of Operations. They provide leadership, guidance, and support to the clinic management team, and exceptional customer service and support to our clients and patients. In addition, they are responsible for managing business metrics and creating plans for development. The Team Leader Manager will also take part in initiatives and work closely with various departments to strategize and plan for implementation of various projects, as they arise.


Compensation: $20/hour, plus additional bonuses based on individual services.


Benefits: dental, health spending account, and Life insurance, with eligibility beginning at 6 months of continuous full-time employment (for external hires).


Type: Full Time (days, evenings, and weekends).


Reports to: Operations Manager

What You'll Do


Schedules & Payroll:


  • Monitor EMR program schedules to ensure optimal schedule utilization.
  • Execute contingency plan for short notice scheduling changes.
  • Approve payroll hours and time-off requests.
  • As vacancies occur on the staff and management team, it is expected that the TL Manager assist with staff and management coverage based on business needs.
  • Prepare and maintain staff schedules two weeks in advance.
  • Find staffing coverage for sick calls, coordinate with other team leaders.
  • Maintain a full-time schedule consisting of clinic shifts (i.e., MA, programs) and administration shifts (to be coordinated and approved by the direct manager in advance).
  • Other duties, as assigned.
  • Review appointments in EMR to ensure they are confirmed and follow up with the appropriate parties as necessary.


Inventory


  • Oversee and bear responsibility for the maintenance of the high cleanliness, professional and performance standards of the clinic.
  • Other duties, as assigned.
  • Maintain proper inventory levels.
  • Oversee and complete action requests.


Be An Ambassador For Appletree Medical Group.


  • Responsible for workforce management.
  • Liaise with the VP of Operations and HR department to forecast staffing needs and assist with the hiring process.
  • Assess, coach, and manage job performance of all clinic staff. Complete 3-month, yearly evaluations for direct reports.
  • Other duties, as assigned.
  • Lead by example and motivate team to perform to their highest potential.
  • Create task lists for clinic staff.
  • Act as a Medical Affairs representative and meet with physicians, as required.
  • With the direction of the direct manager, VP of Operations, implement procedural changes in a timely and effective manner.
  • Act as an HR representative and meet with staff, as required.
  • Listen to team members’ and physicians’ feedback and resolve any issues or conflicts.
  • Act as a resource to answer non-medical questions from clinic staff, physicians, and patients.
  • Reconcile unbilled visits.
  • Oversee day-to-day teams’ operation and performance.


Inspections And Meetings


  • Follow the disciplinary process with staff, as needed.
  • Attend weekly Operations meetings with VP of Operations and report on progress towards shared goals.
  • Lead monthly staff meetings with updates provided by the direct manager.
  • Submit clinic inspection reports to VP of Operations.
  • Prepare for monthly site inspections and participate in site inspections of other locations. Provide guidance to direct reports who are not meeting inspection guidelines.
  • Other duties, as assigned.


Training


  • Discover training needs, organize, and manage staff training and development.
  • QA training sessions facilitated by the Operations team and the Training Consultant. Provide feedback and coaching.
  • Conduct group interviews for potential new hires.
  • Other duties, as assigned.
  • Prepare clinic staff in advance of specialty training, including but not limited to injections and programs.
  • Answer questions, provide support, and report performance concerns to the direct manager when appropriate.
  • Participate in training events such as seminars, trade shows, webinars, and one on one training sessions.
  • Act as a successful partner to new colleagues and clients; provide training to new clinic staff.


Flexibility


  • Other duties, as required.
  • Work a combination of days, evenings, and weekends.
  • Work at various clinic locations, based on business needs.
  • Work Medical assistant and Telemedicine Assistant shifts


Unprecedented Events


  • Flood/leaks.
  • Clinic opening/closures.
  • Schedule changes on short notice.
  • Cold chain break.

Minimum Qualifications


What We're Looking For:


  • Demonstrate the ability to be mobile (with regards to working at different clinic locations) and flexible (with regards to working a combination of days/evenings and weekends).
  • Demonstrate ability to learn new tasks (i.e., experience with a variety of clients/specialties).
  • Available to work full-time
  • One to two years of postsecondary education or equivalent experience is considered an asset.
  • Successfully completed training for at least one specialty program. Interested in the other available programs is considered an asset.
  • Have leadership experience

What's Next


Successful candidates who are selected to advance will complete training under the direction of their Regional Manager which will consist of a combination of self-study, practical training, and on-the-job training.


After successful completion of training, the Supervisor will work within their home clinic (among other clinics) and provide leadership and guidance to their team during each shift. In addition, they will be assigned tasks that are reasonable to their skillset, as assigned by the Management Team.
