Manager, Operations and Resident Experience


Department: Operations

Location: 1 Hesperus Road, Vaughan, ON L4J 0G9

Start Date: July 1, 2023, or earlier

Pay Rate: $60,000.00 to $72,800.00, based on experience and qualifications

Benefits: Competitive package with three weeks’ vacation

Reports To: Executive Director

Direct Report(s): Resident Services Coordinator, Housing Coordinator, Building Superintendents, and Chef

About this Amazing Opportunity


The Manager, Operations and Resident Experience, oversees the operational tasks in managing the physical property and the social and legal relationships between Hesperus, its residents, and third-party support systems. This role includes providing financial accountability, as well as executing day-to-day administration and maintenance of the property portfolio, and providing service to residents, including programs and food. The Manager creates a safe, pleasant, creative, and non-threatening environment, sharing responsibility for the morale and wellbeing of residents, while mitigating risk to the organization.


Your Responsibilities

  • Provide appropriate direction to ensure the efficiency of the operations.
  • Administer / review services contracts and vendors for building as well as all programs and activities.
  • Coordinate all maintenance activities and seek out opportunities for cost reductions on a regular basis.
  • Proactively communicate issues, discrepancies, and other concerns to Executive Director and Board Members to minimize risk/liability and maintain ongoing viability of property.
  • Ensure facility is properly maintained in accordance with legal and contractual requirements, Hesperus, and City of Vaughan building standards by conducting regular building inspections, managing maintenance staff and property capital projects.
  • Assess residents’ requests and recommendations against cost, risk, and viability of their input.
  • Create opportunities to actively listening to all input, suggestions, and recommendations of the residents, and integrating their recommendations whenever feasible and possible.
  • Develop and implement capital plan.
  • Oversee the preventative maintenance and repairs conducted by subcontractors.
  • Other duties will be assigned as needed.
  • Provide technical knowledge, support, and make recommendations to Executive Director and management to ensure compliance to various legislative standards, and ensure good governance is maintained by all respective parties.
  • Set building operation goals and strives for maximum efficiency and customer service.
  • Act as a member of the Land and Building Circle and the General Circle.
  • Lead and actively be involved with the coaching, engagement, development, and retention of the team.
  • Implement well being initiatives and supports for residents.


What you Bring to the Role

  • Exceptional collaboration and listening skills.
  • Ensure the highest standards of ethical conduct and integrity.
  • College Diploma in Property Management, Social Sciences, Business or Public Administration, or related Bachelor’s Degree.
  • Strong relationship building ability and consultative approach with the team, residents, and vendors.
  • Well-developed ability to deal with issues with a sense of urgency and priority.
  • Ability to maintain confidentiality and discretion and deal with sensitive issues.
  • Strong financial acumen.
  • Strong verbal and written communication skills.
  • Ability to analyze information and take appropriate critical decisions and to think creatively and decisively.
  • Change management acumen.
  • Minimum of five (5) years’ experience in building operations and/or property management (residential and/ or commercial), preferably in non-profit housing.
  • Proven leadership ability to effectively lead the team and deliver projects on time and within budget.
  • Customer centric and service focused.
  • Support the sociocratic way of working and the Hesperus foundations in anthroposophy.
  • CMRAO License or designation from a recognized housing administrator (e.g., Institute of Housing Management) or in process of completing.
  • Solid knowledge of OHSA and WSIB requirements.
  • Proven track record developing and successfully creating opportunities to streamline work and create efficiencies (including use of technology).
  • Tech-savvy with solid knowledge of Microsoft 365.
  • Minimum of three (3) years’ experience in a leadership and building operations/maintenance management role, with a track record of promoting an inclusive working environment.
