Key Responsibilities


Invoicing 75%


  • Track, review, record, approve, and forward invoices for approval.
  • Verify Invoice accuracy including tax information.
  • Assist with past due or denied invoices.
  • Define invoicing data types and maintaining databases.
  • Upload and archive invoice related data, as well as price sheet, rebates & agreements.
  • Follow & Implement invoicing procedures (SOP).
  • Manage Invoice & packing slip related requests and queries.
  • Identify Invoice discrepancies and slow approvals.
  • Record, reconcile and update credits.


Reporting & Administration 25%


  • Communicate with supplier for Invoice discrepancies and credit related queries.
  • Ensure seamless movement of products and inventory.
  • Develop and implement systems for accurately managing inventory.
  • Report to upper management regularly and provides recommendations for better inventory control.
  • Compile and circulate weekly &/or monthly reports.
  • Monitor inventory levels very closely and resolves any issues that may become apparent.
  • Communicate and resolve Internal customers issues related to non-conformance.
  • Work closely with accounting, purchasing and receiving department.

Professional Experience Requirements


  • Knowledge of accounting databases and record keeping.
  • 3+ years’ experience in a similar role in a fast-paced environment.
  • Intermediate to advanced proficiency in computer skills in MS Office, Outlook and databases.
  • Experience in processing invoices.


Educational Qualification & Certifications Requirements


  • Diploma in Purchasing, Logistics, Supply Chain, Business Administration, or Related Field.


Other Requirements


  • Clear criminal background check.


Working Conditions


  • Intermittent travel to support the HR department and attend meetings.
  • Pressure to produce tangible results and complete projects within tight timelines.
  • Lifting and/or carrying anywhere from 0llbs to 20 lbs.
  • Operate primarily in manufacturing office environment.
  • Flexible schedule, occasional weekend work.
  • Use standard office equipment such as laptop computers and smartphones.
  • Requires a high degree of attention to detail and the ability to multi-task.
