Position Overview
Calian is currently looking for an Information Management Specialist to assist our client located at CFSCE in Kingston. The purpose of the IMS is that the Department of National Defence (DND) requires all personnel to organize Information Resources of Business Value (IRBV) so that they are stored, retrieved, used, and disposed of in a systematic and efficient manner which follows the Defence Subject Classification and Disposal System (DSCDS), as approved by the Library and Archives of Canada (LAC). Whilst this position will be located at CFSCE in Kingston it is in support of CTC. Services to be provided on-site with some limited remote options available.
Responsibilities
  • Provide management with analysis, advice and recommendations and written reports to improve effectiveness of records management systems
  • Oversee web content management, timely information distribution and content relevancy for various web pages
  • Provide training, as well as information and assistance to employees on matters related to information and recordkeeping processes, procedures
  • Plan and coordinate information and records management activities, projects, and initiatives.
  • Implement information management support tools and systems, including file plans and classification structures, according to the client organizations functions and business lines
  • Provide and administer daily services regarding intranet and internet-based Information Systems and Information Technology (IS/IT) applications in support of unit activities such as website and SharePoint
  • Provide advice and information to managers, clients, and employees with regards to information holdings/recordkeeping activities, processes, file plans and systems
  • Certify compliance for unit internet/intranet configurations are consistent with Treasury Board policies
  • Provide training and mentoring on IT applications such as SharePoint
  • Consult with managers, clients, and employees to identify and analyse their information and records management requirements and to resolve records classification systems and support issues
  • Adapt, maintain, and manage procedures and instructions for the organization’s information holdings/records systems
  • Experience using software such as Sharegate and Treesized Pro
Qualifications
  • Experience with Microsoft Office 365 Power User
  • Experience with provide training and mentoring on IT applications such as SharePoint and Microsoft Office 365 Power User
  • Must be a Canadian citizen, and currently hold or can obtain a Level II – Secret level clearance with PSPC
  • Experience in writing and maintaining complex SharePoint Workflows
