Wage & Paygrade : $20.53/hr. (PG74) plus 10% in lieu of benefits & vacation

The Pacific National Exhibition is an iconic institution in BC, famous for bringing generations of people together to celebrate and build memories. This 113 year old, non-profit organization has an annual operating budget of over $70 million dollars and generates revenue through four activity streams: the 15 day annual summer Fair and winter Fair which average more than 700,000 people annually, Playland amusement park which welcomes 400,000 guests annually including Fright Nights, and a busy year-round portfolio of events including concerts, trade shows and film, cultural and community events. In total we bring over 2 million people through the site each year. The fourth activity stream is park care and facility maintenance. The PNE is proud of the work it does at Hastings Park and has a vibrant team that is passionate about events, guest experience and delivering memorable experiences.

The Fair and Festival Operations department over sees the PNE’s 3 main events: The Fair, Fright Nights and Winter Lights and Fright Nights at the PNE is Western Canada’s Scariest Haunt; key features are roaming Scare Actors, Haunted Houses and other attractions and atmospheric programming on-site within Playland.


We are looking for a motivated and hardworking individual who has a passion for the haunt industry and has extensive experience in office administration. The Office Assistant will report to the Festival Programs Managers and will be responsible for assisting with all administrative tasks and supporting the Fright Nights supervisory team.


Our ideal candidates will possess strong organizational & communication skills and will have a background in office administration, production, theater, or film. The Office Assistant will work in compliance with all health and safety requirements as determined by WorkSafeBC, and all other applicable legislation and company policies.

What will you DO this year?


In your role as our Office Assistant, your primary accountabilities will be to:


  • Assist in the completion of payroll timesheets for the department, light scheduling, and daily departmental attendance
  • Assist with various tasks in preparing for year-round operations, The Fair and Fright Nights
  • Assist in inventory and inventory control/record keeping management
  • Providing clerical services, including word processing, spreadsheets, filing
  • Answer main telephone line, answer inquiries, directing calls, and taking messages.


Pre-Event


  • Prepping manuals and documents for scare actors & supervisor training
  • Payroll
  • Audition call backs
  • Inventory
  • File management
  • Administrative tasks
  • Scheduling casting into respective training & rehearsal dates.


Event Responsibilities


  • Supporting the management & actor team.
  • Daily administrative tasks.
  • Actor & Supervisor Payroll.
  • Preparing daily supervisor binders / clip boards.
  • Scheduling & maintaining cast listings.
  • Preparing daily call sheets.
  • Assisting daily Prep team with makeup room and green room assembly and tidiness.
  • Other duties as assigned.


What else?


  • Must be proactive with the ability to trouble shoot and remain calm in stressful situations.
  • Ability to deal with confidential matters and conduct themselves in a professional demeanor
  • Ability to enter data efficiently and check for accuracy
  • Ability to work a variety of shifts from August –November including daytime, evenings, weekends, and late nights
  • Must have successfully completed grade 12.
  • Experience within the Halloween Industry is considered an asset.
  • Ability to work a flexible schedule with day and night programming
  • Successful candidates must undergo a Criminal Record Check.
  • Proficient knowledge of Microsoft suite
  • Ability to function both independently and in a team environment
  • Ability to spend a large part of the workday in an office working on a computer.
  • Post-secondary education or training in a relevant discipline such as Office Admin, Theatre, TV/Film or other related discipline, or an equivalent combination of education and experience is considered an asset.
