Job Description

DATA TECHNICIAN

ADMISSIONS & SUPPORTS

NorQuesters are difference makers and we’re searching for someone who is dependable and can find ways forward in the maintenance, accuracy, and reporting of student data which assists our learners in accessing services and provides reporting that supports relationships with provincial and federal government organizations.

Reporting to the Manager, OR Systems, the Data Technician collaborates within the Office of the Registrar and across the College on fulfilling annual reporting requirements for external stakeholders (such as PASI, DLI, and LERS), as well as internal reporting requirements while maintaining clean and ready to be incorporated data, adhering to standards and legislative requirements. The Data Technician ensures accurate and complete reporting by correcting student duplicate IDs by searching, identifying, merging, and communicating updates to affected areas to complete official student records.

How You'll Make a Difference

  • Work with functional analysts on troubleshooting and resolving operational system issues.
  • Understand the impacts that incorrect reporting will have on international student status in Canada.
  • Update and maintain the Duplicate ID process manual.
  • Understand data retrieval procedures and ensure confidential information including comments that may exist of a sensitive nature that are not normally viewed by Office of the Registrar staff (i.e. Office of Student Judicial Affairs comments, program chair comments).
  • Contribute to the development of queries for normal maintenance of student records.
  • Regularly run corrective audits to maintain correct information in preparation for yearly LERS reporting to Advanced Education.
  • Provide yearly updates to Provider and Program Registry System (PAPRS) related to Sessions and Costs. This information transfers to Alberta Student Finance and allows students to apply and qualify for government loans and bursaries.
  • As NorQuest College operates as an accredited high school, Alberta Education must be updated on student information, including the courses and grades that are taken by learners. This reporting is done through the Provincial Approach to Student Information (PASI).
  • Apply knowledge of NorQuest programs to understand what data is inaccurate or requires investigation for corrections.
  • Update areas of the college that may need to know student ID has changed including Accounts Receivable, Admissions, Advisors, program areas, Recruitment and Alumni.
  • Data checking and correction in preparation for annual Learner Enrolment Reporting System (LERS) submissions to the Government of Alberta.
  • Using data analytics, investigative techniques and research skills to find duplicated student IDs in PeopleSoft, assessing which record should be kept and manually transfer all application, enrolment, financial, and Students’ Association information from one record to another, including comments and communication tracking.
  • Update Research areas of the college with any adjustments that may affect their work.
  • Review and report on the status of international students during the Designated Learner Institution (DLI) checks that are required from IRCC on a regular basis.
  • Understand how all modules in PeopleSoft Campus Solutions interact to ensure the student record is not corrupted with the removal of duplicate IDs.

What You Bring

  • 3+ years experience in a related role in a post-secondary environment.

Difference Makers. If we were to describe what NorQuest College is, we’d say these two words. We are so fundamentally driven in our mission to make a difference to our students, our community, and to our fellow NorQuesters, that it guides what we do, who we meet, and where we are headed.

So how do we make differences?

  • We unlock potential. Whether its newcomers to Canada who want to improve their English, students who want to complete their academic upgrading, learners pursuing post-secondary education, or anyone who wishes to strengthen their skills through professional development, our passion to educate touches people of all levels and all backgrounds.
  • We strengthen Alberta. From our graduates who hit the ground running, to our partnerships with government, industry, and business, to our commitment to communities, including a dedicated focus on Indigenous communities, we contribute to our province and make it stronger. We strive to be an employer of choice for First Nations, Métis and Inuit people in Canada by leading, supporting, and being an ally through our work toward decolonization, reconciliation, and Indigenization.
  • We empower NorQuesters. When it comes to working, it’s up to you to decide where (on campus or from another location) and how you work. NorQuesters are expected to embody our Qs—lead from where you are, be dependable, find ways forward—to name a few, but how you do that is your choice!

And that’s a snapshot of how we are Difference Makers. But there’s so much more to us and we invite you to explore further !
