Placement Duration 8 Months (Starting September 2023 – Ending April 2024)


Rate of Pay $22.27 per hour


Work Mode On-site

Hours of work 35 hours per week


Overview


Reporting to the Supervisor of Construction Inspections, you will provide clerical support to the staff and Manager of the Engineering Technical Services Section, including typing, filing, preparing forms and documents, inputting daily timesheets, arranging and confirming appointments and meetings, preparing requests for cheques and invoices, and maintaining confidentiality regarding reports, studies, etc. You will also assist in receiving and answering/directing telephone inquiries as applicable and researching information regarding construction projects.

In this role you will


  • Provide general office duties including the typing of letters and technical reports as assigned by the Supervisor, Manager, or staff of the ETS Section.
  • Prepare agenda and minutes for sectional staff meetings.
  • Maintain vacation records and sick leave for ETS staff.
  • Prepare and process documentation for WSIB claims, STD claims, etc.
  • Provide customer service to internal and external clients in regards to construction projects.
  • Manage computer payroll system including daily input of timesheets, preparing biweekly reports and exporting to Finance Department.
  • Maintain purchase order (i.e. office supplies) records and coordinates flow of invoices for approval.
  • Prepare journal entries for approval by the Supervisor.
  • Prepare and update process documentation for core job responsibilities.
  • Maintain and reconcile PCard purchases and financial reports for the Supervisor’s or Manager’s approval.


What we require


  • Some specific, short-term, practical training may be required.
  • Strong keyboarding and computer skills (including MS Word, Excel, Outlook)
  • Must be enrolled in an administrative college co op program and returning to school the following year (2024)
  • Strong ability to multi-task and prioritize assignments
