Position Summary:


We are looking for a Bilingual Business Admin Operations Specialist for Purina working in our Mississauga office, reporting to the National Administration Operations Manager. This role is responsible for supporting the Sales team in invoice processing, scheduling, planning, and the execution of business meetings, reporting, correspondence, and 3rd party storage budget management. The successful candidate will contribute effectively to implementing the sales strategy through the CRM system. As well as ensuring effective business process implementation through the identification and the administration of critical system data and providing daily analytics to all stakeholders including Senior Leadership.


A day in the life of a Bilingual Business Admin Operations Specialist:


Price Lists & Budget management:


  • Manage the virtual gift card order program and provide monthly analytics and budget updates to all stakeholders.
  • Update and maintain Master Price list with new products and pricing for PPVD, Pro Plan and Widely.
  • Generate price lists for all distributors as well as territory managers.
  • Manage the order process and reporting for Nespresso machines and provide budget updates.
  • Provide additional pricing details for distributors as needed.


Manage the flow of items into/through Archway (3rd party storage) to ensure on time delivery to the team and avoid any surplus or insufficient required for flawless execution including:


  • Provide Inventory Lists for all departments.
  • Provide Quarterly Inventory Analysis to the Director, NSM and other NSG stakeholders.
  • Provide technical support to sales team and resolve issues as needed.
  • Manage 3rd party storage facilities inventory and controls.
  • Coordinates shipment of samples from Archway to key customers, GMA and MDO teams.
  • Maintain and improve relations with Archway by meeting with Account Manager on a quarterly basis.
  • Maintain the Archway budget tracker and provide reports to the PO owners on a monthly basis.
  • Certify users for NPPCA on a bi-annual basis.
  • Review and update the SOP with current practices as needed.
  • Manage MS Teams Room (Archway) & Updates for Archway Nest page.


Event Planning:


  • Perform Sales and Technical support on the CRM (Customer Relationship Management) Platforms:
  • Based on feedback evaluations, implement continuous process improvement when necessary.
  • Hold Admin Lite License in Salesforce.
  • Process Trade Spend Payments on a monthly basis.
  • Provide support to the IT department on implementation of national strategies.
  • Review contracts and submit to legal for approval and signatures.
  • Support the sales team with technical questions.
  • Add/remove users in the platform.
  • Collaborate with US on implementation of new updates and support group.
  • Run Sales Reports as needed and directed.
  • Responsible for scheduling & executing internal meetings, national tradeshows and lunch and learns, which includes theme development, site selection, venue, meals and meeting rooms, and awards night planning.


What will make you successful?


  • Initiative, flexibility, and ability to work independently and produce quality work in a fast-paced environment.
  • Excellent written, oral communication and presentation skills combined with excellent time management skills.
  • Completion of a College Degree (Post-secondary education) in Business, Business Administration or equivalent combination of education and experience.
  • Experience with planning & organizing – establishing courses of action to ensure work is completed efficiently.
  • Bilingualism in English and French language skills are a requirement, as this position requires collaboration with stakeholders across the Canadian market and/or worldwide.
  • Strong analytical and decision-making skills.
  • Ability to deal effectively with a broad base of user issues.
  • Minimum three years senior experience in an administrative role preferable within a sales environment.
  • Experience in event planning.
  • Experienced in using a systematic approach in solving problems through analysis of data and achieving a clear definition of business requirements.
