Responsibilities
We are looking for Bilingual Administrative Assistant who is an enthusiastic team player with a strong balance of customer service expertise, communication and technical skills to join our Administration Team. The Bilingual Administrative Associate performs a variety of office support and administrative duties, such as being a member of our Centre of Excellence team, relaying and resolving routine telephone and/or walk‐in inquiries, processing of invoices, composing a variety of standard documents and correspondence, scheduling of meetings, performing data entry, office supply ordering and establishing/maintaining our record retention.
Key Job Responsibilities
  • Assist with facilities/maintenance request calls for office
  • Assist with internal office moves
  • Greets and directs visitors to the company; manages reception area to maintain a professional image
  • Receive, scan and forward incoming mail. Process outgoing mail – Canada Post / ICS /Courier
  • Other localized requirements
  • Prepare onboarding kits for new hires, including desk preparation, parking passes, key/passcard set up for new hires/employees
  • Act as a liaison with other departments on basic administrative and operational matters
  • System administrator support-setting up/maintain client files/create portal login
  • Ordering, receiving, stocking and distribution of office supplies
  • Perform administrative tasks and operational support activities for Senior Leaders
  • Assist with on site event planning/internal events - retirement parties etc
  • Collaborate with fellow Centre of Excellence team members by answering incoming calls and direct the caller to appropriate associate; transfer caller to voice mailbox when associate is unavailable; takes and retrieves messages

Qualifications
  • Minimum of two years' administrative or corporate experience; reception/call centre experience preferred
  • Bilingual French/English; ability to communicate in both French and English, verbal and written
  • Advanced computer proficiency with Microsoft Office products including Adobe Suite/InDesign
  • Secondary school diploma required; post-secondary education an asset
