EPT Clean Oil seeks a highly organized and detail-oriented Administration Support Specialist. The ideal candidate will have experience in bookkeeping, accounting, and administrative tasks. In this role, you will be responsible for supporting multiple departments within the company, including Accounting, Sales and Marketing, and Human Resources. As a growth-oriented company, this role has the opportunity for advancement.
The responsibilities of this position will include the following:
Accounting Support
- Follow up on unpaid A/R and maintain overdue payment after 30, 60, 90 days
- Reconcile company credit card statements with receipts
- Calculate, prepare, and issue invoices and account statements
- Enter & process employee expense reports
Sales & Marketing Support
- Maintain the lab customer sales/income records
- Order and manage promotional items
- Order printing including business cards, printed marketing materials and equipment decals
- Package and distribute onboarding welcome packages
- Support Manual Edits
- Edit and update Sales Presentations
- Maintain 1CRM costing and pricing records
Administration
- Organize and prepare agendas, information and materials for company meetings
- Ensure renewal of Chamber of Commerce Annual membership is processed
- Book travel arrangements for staff as needed via partner, Corporate Travel
- Monitor and order office supplies
- Manage and maintain company control documentation
- Maintain records of tech support and identify continuous issues
- Answer phones and receive incoming visitors
- Perform clerical duties including word processing, filing, photocopying, emails
- Carry out the annual Police Alarm permit renewal and submit as per requirements
- Liaise with Technology Support regarding issues as they arise
Human Resources
- Maintain vacation records for all employees, prepare and post the annual statutory holidays calendar
- Track employee certifications, notify employees and their supervisor of upcoming expiries and book employee recertification
Requirements:
- Strong attention to detail and accuracy
- Ability to multitask and prioritize workload
- Strong knowledge of Microsoft Office Suite, CRM systems and accounting software
- Bachelor’s degree in business administration or related field
- Excellent communication skills, both verbal and written
- Minimum of 2 years of experience in administrative tasks
- Excellent organizational and time-management skills
