Job Description
Basic Purpose of Position: Administrative Coordinator MRO


This position provides administrative support in Halifax to the Director, JTS MRO Operations and his/her team.


Key Responsibilities


  • Coordinate Business Travel including booking hotel and flights.
  • Monitor and report on Read and Sign memos, CAPA review and Dashnoard updates
  • Maintain, update and manage calendar for Director JTS MRO.
  • Responsible for the gathering of information and issuing of the JTS Now Monthly Newsletter.
  • Order supplies and monitor the expense for JTS group – Jazz & JTS giveaway items and employee recognition items.
  • Maintain and up-to-date training record for JTS employees.
  • Compile and format mobility updates and send through Comply to the Maintenance Employees and track their compliance.
  • Own certain DLs (distribution lists) and keep them up-to date.
  • Code and approve invoices through Ariba System.
  • Monitor and time track for JTS group (ATS and Management employees) using Kronos system.
  • Compile and send out memo and crew updates through Jazznet Message Centre to the Maintenance Employees.
  • Other related duties as assigned.
  • Responsible for JTS Seniority List and JTS union quarterly billing.
  • Support and backup to Administrative Assistant position in Heavy Maintenance
  • Delegate for signing HIAA (Halifax International Airport Authority) security forms and holder of visitor passes.
  • Responsible for JTS Intranet pages and is responsible to ensure all links are updated and working.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
  • Schedule meetings, book meeting rooms and help with all meeting types within the group.
  • Provide administrative support to Director MRO Operations and key managers in JTS MRO.
  • Coordinate, attend and take minutes for JTS union grievance meeting, monthly meeting and UMHQ meetings as requested.
  • Coordinate, attend and take minutes for weekly management meeting, includes monitoring and tracking action items.
  • Assist Heavy Maintenance Production Control in daily work order requests and produce aircraft work order hours for each aircraft release out of service when requested.
  • Execute all OT calls for JTS unionized group through the Send Word Now process.
  • Manage projects as assigned.


Qualifications


  • Candidate must be proficient in Microsoft Office Suite with particular skills in Outlook, Word, Excel, PowerPoint and FrontPage.
  • Must have at least 3 years of experience working in an office environment.
  • Knowledge of Maintenance environment and airline operational experience will be considered an asset.
  • Candidate must be able to maintain high level of confidentiality in this role
  • Candidate must be well organized, manager time effectively, prioritize multiple tasks and meet deadlines.
  • Must have the ability to obtain a Restricted Area Identification Card (RAIC).
  • High School Diploma or equivalent is required and Post-Secondary education an asset.
  • Candidate must be proficient working in internet/intranet and network environment.
