Job Summary


UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community. In November 2020, UBC successfully went live with its new HR and Finance implementation of Workday. The Integrated Renewal Program (IRP) is now focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student.


The Integrated Renewal Program—Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty. This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making. IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform.

The QA Lead will plan and track various testing activities for one or more workstreams relating to Workday, Ecosystems, and/or Integration, coordinate test planning and test scenario creation, manage the defect triage process, report on test quality indicators and status, improve existing testing methodology, processes, and standards. The QA Lead will report to the QA Manager, while working closely with the Project Managers and Delivery Team. As a member of the Testing Shared Services team in IRP Student, the incumbent will provide resource planning requirements and contribute to the program testing resource plan. The QA Lead will also provide technical expertise and operational management necessary to manage testing activities within one or multiple workstreams.


Organizational Status


The QA Lead reports to the QA Manager within IRP Student, while working closely with test management team, project managers, test team, delivery teams, vendors, and other staff across IRP. This role will interact regularly with other administrative and academic units.


Work Performed


  • Coordinates and distributes work for testers, monitors workloads, and makes necessary adjustments
  • Creates materials for testing kick-offs, testing trainings, or other testing related topics.
  • Builds and maintains good working relationships and collaborates with team members who will take part in the testing activities.
  • Defines and implement test strategy and test plans for specific, estimates, and schedule
  • Acts as primary escalation point for testing issues related to specific workstreams
  • Advocates the appropriate level of testing based on quality, timeline, and resource
  • Conducts regular testing status reviews with QA Managers, Project Managers, and team at required quality checkpoints.
  • Provides empirical data (e.g. test results, defect metrics) to support assessment activities
  • Works with the delivery team including technical and functional staff to develop testing resource plan for specific workstreams, and communicates resource needs from the testing resource pool
  • Performs other related duties as required.
  • Leads the day to day delivery of testing services and activities, tracks progress and prepares test reports
  • Defines testing environment required and ensure completeness of setup prior to the start of testing
  • Provides coaching and mentoring on the more complex element of the work, applying an advanced level of testing expertise and judgement to support the achievement of desired work outcomes.
  • Works effectively with project managers, product vendors, and system integrator to agree on the appropriate test approach to ensure the quality of the solution outcome is understood and known issues are actioned
  • Develops and implements procedures, methods, standards and controls to support effective testing, monitor compliance, mitigate testing risks, and achieve team results.
  • Assesses the progress and effectiveness of the testing effort. Monitors and analyzes test results and defect metrics.
  • Assesses opportunities for test automation
  • Ensures completeness of test coverage, and provides technical and analytical guidance in testing
  • In collaboration with the Senior QA Manager / QA Managers, manages the staff performance assessment process. Conducts regular meetings with direct reports as needed.
  • Recruits and manages relevant testing members as needed. Trains resources on the testing model, objectives, execution, and communication of test results.
  • Creates Test Cases and execute tests as needed
  • Creates testing reports and tracker to communicate testing progress with workstreams
  • Attends project meetings to report on the status of testing, communicate RAID (Risks, Action, Issues, Decisions), implement testing standards and policies, and communicate testing schedule
  • Ensures teams adheres to the defined methods, procedures, and quality objectives


Consequence of Error/Judgement


The Integrated Renewal Program will transform the way we interact and work on all aspects of the full scope of the Student, Financial and HR systems with the goal of making it easy and efficient for the faculty, staff and students, and creating a cohesive, integrated experience for all users. This project will touch the whole campus (over 10,000 faculty and staff and over 60,000 students) and thus has a high consequence of error with a negative impact to the whole organization.


The QA Lead plays a significant role in supporting the implementation of systems and processes. Work requires judgment and initiative. Errors could have a significant impact on the success of project delivery, subsequent effects on UBC s strategic goals and visions.


Supervision Received


Works under the administrative direction of the QA Manager in IRP Student. The QA Lead must be able to work independently and assume full responsibility for his/her decisions. Performance is reviewed by the QA Manager along with general feedback from Senior QA Manager, Test Team, and various Program Team members.


Supervision Given


Provides direction or procedural instruction to Senior QA Analysts and QA Analysts. Required to provide in person or documentation-based training to the IRP team and, where required, other IT professionals or stakeholders.


Minimum Qualifications


Undergraduate degree in a relevant discipline. In-depth knowledge of applications and the business requirements supporting them. Minimum of five years of related experience, or the equivalent combination of education and experience.


Preferred Qualifications


Bachelor degree (or higher) in Business Administration, Commerce, Computer Science, Management Information Systems, Business Technology Management, or other relevant program is preferred.


  • Ability to handle multiple work areas effectively with situations involving rapid change, shifting priorities, and / or simultaneous demands
  • Certifications in one or more of the following are an asset: related test management or testing certifications (ISTQB, ASQ, QAI PMI-RMP, Six Sigma)
  • Excellent verbal and written communication skills
  • Deep knowledge of test management tools, defect management tools, and testing progress reporting
  • Minimum of 8 years cumulative software testing experience (i.e. requirements and test scenario / case creation, test approach and strategy, test execution, test reporting, defect management)
  • Experience with automation tools, frameworks, API testing using POSTMAN/SOAPUI, JMeter etc.
  • Strong facilitation and presentation skills with solid analytical and problem-solving skills displayed in the development and execution of test plans and the analysis of system problems
  • Ability to work for multiple managers and balance competing priorities while accomplishing the tasks at hand
  • Experience with large program implementation supporting multiple testing functions (data management, environment management, defect tracking and reporting)
  • Strong interpersonal skills and ability to integrate well into internal and external teams, and also be able to communicate with technical teams
  • Minimum of 5 years of experience in a testing leadership role (i.e. QA Lead)
  • Ability to conduct interviews and participate in hiring decisions for the team.
  • Experience with Student and Enrolment functional or system implementation, Workday, integration background with MuleSoft, automation is an asset
