Job Description

Reporting to a Procurement Supervisor, the Procurement Assistant is responsible for providing administrative and purchasing support to the Procurement department, enabling the team to maintain an organized and focused workflow. This position will communicate regularly with field retail sites and sales personnel to assist with product and process queries. The Procurement Assistant will be responsible for creating purchase orders, expediting orders, and resolving delivery and invoicing discrepancies while working closely with internal stakeholders throughout the supply chain.


KEY ACCOUNTABILITIES:

  • Effectively manage procurement activities for material requests by working closely with suppliers to ensure customers receive product in accordance with their expectations.
  • Perform other job-related duties as assigned.
  • Perform system receiving activities and invoicing of special orders.
  • Process special order quotations requests for customer in a timely manner
  • Collaborate with Finance to investigate and resolve accounts payable issues pertaining to price discrepancies, product shortages and/or receipt of damaged goods.
  • Ensure procurement activities comply with company policies and procedures.
  • Effectively communicate UFA standard operating procedures and business processes to internal and external customers to establish a proper customer service level expectation.
  • Regularly communicate with and address Field Operations and/or Sales team inquiries related to product assortment and availability.


REQUIRED QUALIFICATIONS:

  • Proficient in Microsoft Office. Advanced skills in Excel, SAP, Competitive Edge and Point of Sale required. Experience with Microsoft D365 an asset.
  • Excellent prioritizing, problem solving, administrative, organizational, communication and customer relations skills.
  • Must have business acumen and attention to detail.
  • Minimum of business certificate, 3 years of relevant experience.
  • Excellent written and verbal communication skills. Able to manage work remotely and provide regular reporting on deliverables
  • Able to multi-task and remain calm under pressure while meeting deadlines in a fast-paced environment.
