We have a great career opportunity for a motivated Operations Manager who is looking for a role where they can make a direct impact on the day-to-day operations, and are interested in joining a growing company, this may be the right opportunity for you! The Operations Manager is responsible for leading our administrative team to effectively provide daily administrative activities to ensure excellence in the provision of administrative support services. The Operations Manager reports to the Managing Director and works collaboratively with the Medical Director, Physicians, Customers, clinical research staff, vendors, and other internal and external contacts as required to define and develop continuous improvements to meet company objectives and high quality of patient care.


Position Description:


  • Any other administrative oversight duties as assigned.
  • Support the roll-out of Administrative processes to ensure they are understood and performed thoroughly. Identify and implement improvements to these processes.
  • Onboarding and Offboarding of staff.
  • Ensures all consult and follow-up notes are sent out in a timely manner.
  • Work with the billing team to ensure OHIP billing rejections are promptly addressed and track non-OHIP receivables.
  • Ensure all sleep studies are reported by physicians in a timely manner.
  • Interact directly with physicians and Administrators to foster and ensure a positive administrative experience for patients and physicians. Interact directly with patients to address any questions that may arise.
  • Review and address questions regarding OHIP billing, RAs and so forth to ensure accuracy and timeliness.
  • Track and review metrics in order to ensure productivity, timeliness, and quality. Adhere to internal administrative and process standards.
  • Manage and organize daily operations including reception desks, doctor’s schedules, and sleep study bookings.
  • Ensure all operational reports are completed and submitted in a timely manner.
  • Coach, motivate, train, and directly oversee a team of Office Administrators. Provide feedback and ensure quality and timeliness of deliverables and a positive patient experience.
  • Perform the Administrative role if needed during Administrator absences.
  • Maintain and order supplies.
  • Ensure adequate admin staffing to facilitate delivery of excellent patient care service.
  • Analyze patient feedback surveys to identify areas for improvement.


Skills & Qualifications:


  • Undergraduate degree is a strong asset.
  • A professional approach to customer service. Organizational and multitasking skills.
  • Telemedicine experience is a strong asset.
  • Experience with EMR is essential.
  • Experience coaching, training, and motivating Administrative team members.
  • Experienced in focusing on quality, accuracy and efficiency of processes and results.
  • A minimum of 3+ years of relevant experience overseeing medical office administration processes and staff in a fast-paced medical office(s).
  • Must have a valid driver’s license as the role is performed at offices within the GTA.
