Job Description

Overall Purpose:

Power To Be is a non-profit organization that creates access to nature for youth, families, and adults living with cognitive, physical, financial, and social barriers. Our Operations Leadwill be flexible and understand how to prioritize tasks while successfully troubleshooting logistics issues. This requires strong attention to detail, flexibility, resourcefulness, and exceptional problem-solving skills. There will also be the opportunity to undertake special projects to support the mission of the organization.

JOB RESPONSIBILITIES:


Office Management

  • Responsible for the day-to-day office operations of our Prospect Lake Facility, this includes managing facility bookings, providing reception to visitors, answering and directing calls, responding to email inquiries and internal communications.
  • Acts as recording secretary on various committees and schedules meetings.
  • Responsible for maintenance of office infrastructure such as equipment and supplies.
  • Responsible for organization wide calendar management and oversight.
  • Provides supervision to reception volunteers.
  • Responsible for oversite of internal and external mail.
  • Tracks & Supports office lease, permits, business licenses, insurance renewal, driver’s abstracts and other pertinent documentation.
  • Provides administrative support to various departments.
  • Maintains filing system and provides oversite of file retention schedules.


Systems & Technology

  • Is the first point of contact for staff technical troubleshooting, including profile creation, password resets, hardware, software, printers, photocopiers and phone system.
  • Supports inventory and replacement plan for hardware. Including computers, accessories, and phones.
  • Coordinates the pickup and delivery of new equipment as required.
  • Works closely with the Director of Facilities and Assets to manage third party IT contractors.
  • Responsible for Digital File Maintenance
  • Provides administrative and maintenance support for the SharePoint system including user education.
  • Tracks Service Requests and works closely with Facilities and Assets team to ensure all workspace and staff needs are met.
  • Provides knowledge sharing and training to new users on Microsoft 365 suite.
  • Microsoft 365 & SharePoint Superuser.


Site Utilization & Events

  • Works closely with the Community Engagement Specialist on tensuring site events are aligned with the Strategic Plan.
  • Adheres to all Power To Be policies and guidelines, and applicable legislation as they relate to staff and volunteer practices.
  • Responsible for coordinating, planning and executing events including the tracking and oversight of third party insurance.
  • Is an active contributor to creating a positive and dynamic working culture.
  • Acts as the lead Site Host, welcoming visitors, providing tours and setting community partners up for successful events.
  • Participates in the training and supervision of Site Host volunteers.
  • Facilitates staff training on use of internal operations systems.
  • Supports Occupational Health and Safety program, policies, and procedures.
  • Working across teams to ensure efficient site utilization and organization.
  • Supports the Director of Systems and Communications with the implementation of Standing Operating procedures.


Perform other related duties, as required.

Requirements

  • Proficiency with Microsoft 365
  • This is an on-site position at a remote location, the successful applicant must have the ability to reliably commute to our Prospect Lake site.
  • As per the Ministry of Justice requirements for organizations that work with vulnerable populations, A Criminal Record Check (CRC) and Criminal Record Review Act Check (CRRA) will be required.
  • A combination of education and experience in the field of office administration/ management
  • Experience working in the non-profit sector preferred
  • Proof of full vaccination against Covid-19 required.

Position:Operations Lead

Reports to:Director of Systems & Communication

Hours:40 hours per week

Compensation: $ 55,000.00 – 60,000.00, negotiable based on experience
