Major Duties
  • ATS Industrial Automation Cambridge is looking for an Office Administrator who will manage the travel booking for our Full-time staff. The Office Administrator will thrive in a fast-paced work environment and take initiative in completing tasks. This position is an ideal opportunity for an organized and driven administration professional who will take relentless ownership of the role and who has the desire to make significant contributions to the growth of ATS Industrial Automation team.
Specific Responsibilities
  • Manage travel booking required for our Full-time staff
  • Assist other department staff, as required and all other administrative duties relating to operations.
  • Assist with calculating and tracking department KPIs
  • Adhere to all health and safety rules and procedures.
  • Assist project teams with project related documentation and ensuring compliance to departmental procedures.
  • Circulate approved Change Orders, Machine Release for Shipment forms, Final Machine Acceptance forms.
  • Ensure that all business activities are performed with the highest ethical standards and in compliance with the ATS Code of Business Conduct.
  • Prepare office space and order office supplies for new departmental employees.
  • Assisting Project teams with preparation of and kick-off of new projects, including arranging meetings, initiating SharePoint project sites, initiating Jira issue tracking sites, etc.
  • Send out customer satisfaction surveys upon project completion
  • Maintain COR internal approval tracking
  • Prepare and update presentations, reports and spreadsheets as required
  • Help with meeting logistics (rooms arranged, catering requests etc.) which includes any off-site meetings.
  • Maintain project list for all active and closed jobs and post to SharePoint site
  • Prepare customer invitation letters and visitor notifications
  • Maintain departmental procedures within internal SharePoint sites and BQMS
  • Perform other duties as assigned
  • Support Auditing department & ISO compliance as required
Qualifications
Education
  • Post-secondary degree or diploma in Business Administration related discipline or equivalent experience.
Experience
  • The ideal candidate will have strong interpersonal skills, thrive in a fast-paced environment, and operate with considerable independence. It is critical that this individual be resourceful, adapt when required, shift priorities and seek solutions when faced with ambiguity.
  • Strong analytical and organizational skills
  • Ability to work collaboratively with a team but effectively work independently
  • Excellent communication skills are an asset – seeking to understand through active listening is essential
  • Experience managing multiple tasks and the ability to prioritize work effectively
  • Previous experience and/or exposure to booking travel would be considered an asset.
  • Strong skills in Office 365 Word, Excel, Planner and PowerPoint and other live documents
  • Minimum 5-10 years’ experience in business administration
Health and Safety

  • Attend all required health, safety, and environmental training
  • Ensure that the required protective equipment is used for the assigned tasks
  • Report any unsafe conditions or unsafe acts
  • Assist in investigating accidents/incidents
  • Report any accidents/incidents to supervisor
  • Refrain from engaging in any prank, contest, feat of strength, unnecessary running, or rough and boisterous conduct
