Job Description
Reception & Admin


Responsibilities:


  • Provides administrative support to the CLT
  • Welcomes visitors by greeting them, in person or on the telephone
  • Assist with miscellaneous tasks & projects as required
  • Deal with queries from the public, clients. and employees
  • Invoice and purchase orders for external vendors and expense reports
  • Monitor visitor access and maintain security awareness
  • Managing building passes and access for employees
  • Managing shipments and storage
  • Organizing meeting room bookings – this includes catering and luncheons when needed


OTM support


  • Leading all PPP for salable changes and PPPs creation on Popptarts
  • Update Excel file to create PPPs in Popptarts for new Launches
  • Support Tester allocation process, JBP reports, New tracker launch
  • Updating POS reports for Luxury and Field team


Office Facilities, Health & Safety, Employee Wellness


  • Adhere to office policy and procedures
  • Wellness and available services. Regular communication with property management on available health and wellness initiatives.
  • Oversee facilities maintenance, including frequent communication with the property management, contractors, and employee communications.
  • Employee wellness and support - building strong relationships with employees to promote health,
  • Support access and equipment requests
  • Health and Safety leader for Toronto office – Frequent communication with global H&S team.
  • Coty wellbeing drumbeat meetings - monthly connects on wellbeing campaigns, content for the HS&E Wellbeing page
  • Organizing and participating in corporate events
  • Monitor and maintain office equipment - control inventory relevant to reception area, stationery room and kitchen


Internship Program – Recruitment Support


  • Partnering with hiring managers to support internship recruitment
  • Manage job postings, screen and assess applicants, coordinate interviews with hiring managers, correspondence with candidates
