What You Will Do
Under the direction of the Associate Director, Residence Services, the Manager, Residence Operations is responsible for the year-round building operations of all Humber residences at the North and Lakeshore campuses. As a key leadership role in Humber’s Residence team, the Manager will oversee all aspects of cleaning, furniture and equipment, lock and safety equipment, and building aesthetics, and will work closely with key contractors and other Humber departments, including Facilities, IT, and Public Safety, to provide a high quality living experience for residents and guests.
The Manager will ensure efficiency, accuracy, and excellent customer service to residents and guests year round, planning and implementing all aspects of Residence building operations, while collaborating with other departments and contractors to ensure service, maintenance, repairs, and projects are completed in a timely manner while respecting student and guest needs and maintaining a positive living and working environment. The incumbent will ensure that all Residence and College policies and procedures are followed, and that thorough, current documentation is maintained while working closely with other members of the Residence management team to ensure a seamless experience for residents and guests.
The incumbent will recruit, train, and oversee a diverse team, and will act as a point of escalation for more significant staffing concerns, following Humber and Residence policies, and relevant collective agreements. This position manages staff at both campuses and will be expected to work at both North and Lakeshore campuses on a rotation.
The Manager’s actions and decisions will be reflective of Humber’s core values of courage, innovation, equity, health & well-being, and sustainability. Occasional evening and weekend work is required, and the incumbent will participate in the Manager on Call rotation.
Key Duties Include
Managing Day-to-Day Residence Operations by:
  • Managing all aspects of lock hardware and software management in Residence;
  • Playing a leadership role in the planning and implementation of efficient move-ins and move outs;
  • Overseeing regular maintenance of common spaces and residence rooms, ensuring preventative maintenance and replacement of damaged or worn furniture, equipment, etc.
  • Ensuring a clean, safe, well-maintained residence environment that is conducive to learning;
  • Establishing, documenting, and maintaining efficient and effective processes, implementing changes to improve as required;
  • Administering effective inventory management processes and practices;
  • Creating and implementing appropriate processes and practices for repairing, maintaining and ordering furniture;
  • Overseeing the preparation and execution of Residence Operations’ role in significant events, including move-in, move-out, building closures, and open houses;
  • Acting as a point of escalation for student/parent/guest concerns or appeals related to cleaning, damages, or related charges;
  • Possessing a deep understanding of the lock management system and relevant modules in the residence management system, and ensuring that they are functioning optimally;
  • Managing the modules/functions in the room management software related to inventory, inspections, work orders, and any other operations-related functionality, while also training staff to use these functions appropriately and running related reports;
  • Managing all aspects of the day to day operations at North and Lakeshore residences while fostering customer service based culture with high student and guest satisfaction;
  • Ensuring staff are completing thorough inspections at appropriate intervals to ensure prompt response to issues;
Managing Services Provided by Campus Partners/Contractors and Residence Projects by:
  • Working with Sustainability, Facilities, and cleaning and waste removal contractors to maintain high waste diversion rates and maintain cleanliness in and around the Residences;
  • Preparing detailed RFP/RFQ documents to ensure supplies and services received meet all Residence needs;
  • Ensuring compliance against contract documents with contractors;
  • Ensuring all safety equipment is functioning optimally and working with Public Safety, Facilities, and related contractors as required;
  • Collaborating with Facilities and contractors for deferred maintenance/capital project planning and implementation;
  • Working with campus partners to ensure appropriate services are provided to residence (IT for wifi/internet, Facilities for maintenance/repairs, PS for cameras, alarms, ephones etc.) and that preventative maintenance and repairs are completed in a timely manner with minimal impact on residents, guests and staff;
Financial Responsibilities
  • Develop & monitor annual operating budgets as related to Residence Operations;
  • Oversee the entry of and approve relevant purchases following Humber purchasing guidelines and using appropriate financial platforms;
  • Ensure compliance with Humber financial policies, procedures, and standards;
Human Resource Management
  • Identify & recommend changes to policies & procedures where these changes may impact staff or clients;
  • Provide on-going training and professional development opportunities;
  • Manage full-time, part-time, and student employees to ensure a high level of performance through effective recruitment, selection, training, motivation, professional development & evaluation while adhering to collective agreements and employment standards;
  • The incumbent manages staff at both campuses and will be expected to work at both North and Lakeshore campuses on a rotation.
  • Provide regular feedback, follow up on areas for improvement and manage performance issues;
  • Provides guidance and support to staff reporting to other managers to ensure a cohesive residence operation during business hours and during the after-hours on call rotation;
  • Residence is a 24/7 operation, and the Manager manages staff who work evenings, overnights and weekends, will have regular calls during off-hours with staff, and must come to campus during off-hours to meet with staff occasionally;
  • This position participates in an after-hours on-call rotation supporting the staff who work overnights and weekends supporting our residents;
Emergency Response
  • In collaboration with other Residence Managers, conduct fire drills & resident safety training exercises as required;
  • Provide after-hours support to a 24-hour residence operation, including responding to after-hours phone calls as part of the Manager On-Call rotation for operational issues and emergencies such as ambulance calls, fire alarms, personal injuries, facilities concerns, hotel guest concerns, and serious Residence or Student Code of Conduct violations.
  • Support Front Desk, Residence Life, Public Safety, etc. as required during an emergency;
  • Actively participate in training all Residence staff in emergency response procedures;
