Job Title: Manager, Professional & Continuing Education (PACE) Operations

Salary Scale: $68,062 to $85,078 annually


Reporting to the Director, Professional & Continuing Education, the Manager, Professional & Continuing Education (PACE) Operations will be accountable for overseeing the provision of daily operations within PACE, and will provide general overall leadership on PACE functions in the tri-campus model, working in coordination with other University departments and external partners within the respective communities.


The incumbent will be required to handle a variety of tasks simultaneously, establish prior work independently, use good judgment, and be comfortable with decision-making. The incumbent must also have the ability to work with interruptions to workflow, which may create changes in priorities.


A high degree of sensitivity to confidential matters and taking appropriate measures to ensure integrity is mandatory. This position is expected to act as a visible contributor to a healthy, progressive workplace culture.


RESPONSIBILITIES


Administrative Lead (70%)


  • Develop objectives, goals, and measurements, in consultation with the Director, Professional & Continuing Education, to ensure efficient and effective PACE operations.
  • Act as the main point of contact and liaison with internal departments and key members of the Algoma University community for escalated PACE inquiries.
  • Use of critical thinking and tact to strategically manage and monitor the day-to-day operations and administrative duties of the Department of PACE.
  • Through faculty and student feedback, track, review, monitor, and make recommendations around the wide range of services and current initiatives necessary for promoting excellence in student experience in the areas of programming, student services, and overall student experience.
  • Monitor and maintain PACE-related matters to the Office of the Registrar regarding Algoma University policies and procedures.
  • Assist in the development and establishment of policies and procedures for PACE.
  • Monitor, track, and maintain PACE-related sections of the AU website and social media accounts to track data and information flowing back to PACE’s Student Information Systems; this includes working collaboratively with the Marketing & Communications department on social media specific to PACE programming.
  • Review and monitor the PACE office operations, and provide recommendations to ensure efficiency and effectiveness around procedures and best practices.
  • Work collaboratively with the Office of the Registrar, Finance, Student Success & Wellbeing, and Student Recruitment departments on scheduling and student records (e.g. transcripts) specific to PACE programming.


Business Process Analysis (25%)


  • Assist with process improvement initiatives related to the translation of business requirements into functional systems specifications.
  • Develop and manage all documentation related to training requirements, including electronic and hard copy resources, current policies and procedures, instructional guides, report documentation, orientation materials, etc.
  • Execute transition plans to ensure the successful operationalization of newly developed systems.
  • Explore available functional tools and identify opportunities to leverage technology capabilities to meet the department's needs.
  • Work with department units to develop and document effective testing and training plans specific to data migration and testing.
  • Support system configuration, conversation, validation, maintenance, and testing while creating and maintaining documentation to track changes.
  • Conduct ongoing needs analysis to define, deliver, and evaluate department needs.
  • Review and refine current processes for other departments requiring access to PACE programming applications.
  • Collaborate with functional technical teams to identify enhancement opportunities, implement and support technology solutions to meet department needs, and work within the team to implement system updates, including testing and ongoing maintenance.
  • Review and refine current policies and procedures for systems and processes.


Other Duties (5%)


  • Represent the University, when required, at both internal and external functions and meetings.
  • Plan, coordinate, and implement various events to promote the University within communities, working collaboratively and cross-departmentally to ensure event plans reflect the goals of each campus and the University as a whole.
  • Demonstrate individual and collective responsibility for the planning, implementation, and measurement of the University’s Strategic Plan, commit to achieving the objectives of the Plan, and maintain accountability to the Administration team in pursuit of these objectives.
  • Support the facilitation of communication between Algoma’s Sault Ste. Marie campus, Brampton campus, and growth of the Timmins campus, in order to meet the needs of current and prospective students.
  • Lead, manage, and support specific institutional issues, priorities, and special projects, as assigned by the Director, Professional & Continuing Education.
  • Liaise internally with the University’s academic and administrative departments to forward PACE operations.
  • Other duties, as assigned by the Director, Professional & Continuing Education.


MINIMUM QUALIFICATIONS


  • Proven successful experience liaising with, and influencing, senior administrators across multiple sites, and handling matters of complex and sensitive nature.
  • Undergraduate degree in any field, and a minimum of three (3) years of related, progressively responsible administrative management experience in a post-secondary environment, or an equivalent combination of education and experience, is required.
  • Ability to work effectively with people of diverse backgrounds, styles, and abilities.
  • Strong financial management experience and analytical ability in budget modeling and forecasting.
  • Experience supporting strategic initiatives and developing and implementing business plans.
  • Experience working with international students is considered an asset.
  • Creativity, and an innovative approach to problem-solving.
  • Strong attention to detail, the ability to identify contentious issues, exercise good judgment and discretion, and ensure appropriate action is taken when required.
  • Ability to work both independently and as part of a team.
  • Significant demonstrated experience developing and implementing effective business processes, systems, and procedures, as well as technological systems, to increase efficiency and optimize the use of resources (e.g. understanding of project management tools).
  • Commitment to understanding Algoma University’s Special Mission, the Seven Grandfather Teachings, and AU’s values with respect to equity, diversity, inclusion, decolonization, and Indigenization.
  • Proven experience leading and mentoring staff, preferably in a unionized environment.
  • Demonstrated knowledge of human resources policies and procedures, labour and employment standards, health and safety, and routine collective agreement interpretation.
  • Excellent use of technology for collaboration, including Google Suite.
