Job Description

Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Metrolinx is an agency of the Government of Ontario.

Our Security Operational Support Office is seeking a Logistics Coordinator to administer the Security Division uniform & equipment program and related processes and apply sound logistic management processes in managing inventory, fleet support equipment including vehicles and provides administrative support services (e.g. compiling, inputting, tracking and reporting on a variety of data/information, generating communications materials/correspondence, responding to inquiries) and vendor relationship management.
What will I be doing?
  • Ensure proper tracking of serialized use of force and protective equipment in accordance with manufacturer specifications and Ministry / OPP requirements.
  • Coordinate the procuring and supply of divisional staff recognition awards program.
  • Administer the staff uniform program for annual/semi-annual renewal, new hires, and as required, to ensure staff (both union and non-union) receive appropriate uniforms in a timely fashion (including storage and distribution).
  • Maintain electronic tracking system for orders/entitlements, entering and maintaining relevant data in the system (e.g. uniform measurements, vehicle & specialty equipment information) while ensuring confidential and sensitive information remains secure. Extracts data/information from electronic tracking system and produces routine reports for the supervisor.
  • Ensure security to front line fleet support vehicles are properly equipped with tools and equipment not provided by corporate fleet but required for general duty.
  • Track, respond to and resolves routine complaints around ordering entitlements, errors or deficiencies in orders received, and escalates more complex/contentious issues to the supervisor.
  • Prepare information bulletins, correspondence, and other communication materials in relation to uniform, and or other equipment related programs.
  • Work in coordination with Fleet Management Centre to ensure fleet support vehicles are cycled through routine and irregular repairs / maintenance while balancing operational needs.
  • Identify and recommend methods for ongoing process improvements associated with logistics related programs to ensure optimal efficiency and effectiveness. Identifies administrative program deficiencies, supply change problems and escalates to the supervisor for resolution.
  • Coordinate equipment orders.
  • Liaise with front line employees (union & non-union) to respond to inquiries and ensure uniform or specialty equipment issues and related requirements are met during the ordering process.
  • Produce reports associated with vehicle deployment and state of readiness. Work in conjunction with Corporate Fleet in relation to decommissioning and commissioning of vehicles.
  • Coordinate and monitor supply chain operations monitoring deliveries, orders, ensuring customer satisfaction and maintaining accurate records.
  • Review and interprets collective agreements to control and monitor uniform allotments, ensuring compliance with applicable terms and conditions.
  • Provide administrative support to the supervisor.
What Skills and Qualifications Do I Need?
  • Completion of a college diploma in business administration or a related discipline or a combination of education, training and experience deemed equivalent.
  • Experience with computer applications (e.g. MS Outlook, Word, Excel) databases, tracking systems, and other application software.
  • Interpersonal, customer service, and oral/written communication skills to respond to or direct enquiries, resolve routine problems, interact with and provide support to all staff levels, vendor of record and to generate a variety of correspondence, bulletins, reports and documents.
  • Minimum two (2) years’ experience providing administrative support to a busy administrative program (e.g. experience with record keeping, both hard copy and electronic, tracking and reporting of data/information).
  • Planning, organizing, and coordination skills to plan, prioritize, and organize work assignments to meet deadlines and achieve assigned objectives.
  • Knowledge of recordkeeping and bookkeeping processes and procedures to track invoices and expenses, uniform orders and deliveries, and prepare routine reports.
  • A valid driver’s license is required to travel from work location to other sites (approximately 20%). Must meet and maintain the corporate standard for a good driving record.
  • Other Requirements: The incumbent may be required to work outside ordinary business hours (e.g. evenings and weekends). Approximately 70% of time is in the office; approximately 30% of time is spent in various site offices across the GTHA. Standing for prolonged periods and lifting boxes of clothing ranging from 30 to 60lbs, is required.
  • Prior experience with or the ability to interpret and apply collective agreements and vendor contract terms and conditions
