Job Description

The ideal candidate will ensure effective case management of client files as well as regular tracking and reporting of data under the supervision of a lawyer.


Hours/Location & Fees:


  • Location: Fully remote. Must have own computer
  • Hours: 10 - 20 hours per week, availability 9:00 am - 5:00 pm Monday to Friday
  • Fees: $20 - 25 / hour


Job Responsibilities:


Opening and closing Client Files:

  • Opening client files
  • Preparing and sending retainer agreements/engagement letters


Docketing & Invoicing

  • Preparing summaries of client payments, trust amounts and invoices
  • Following up on overdue invoices
  • Generating invoices
  • Assisting lawyers with docketing and entering of expense into billing system


Scheduling

  • Coordinating and scheduling appointments for lawyers
  • Registering lawyers for Continuing legal Education/Firm Events


Preparing Documents

  • Preparing letters, mediation briefs, motion records, notices of examination, factums, affidavits of documents, affidavits of service, motion confirmation records, cost outlines, bills of costs and other court forms
  • Sending out documents
  • Preparation of these documents from recorded dictation
  • Reviewing and proofreading documents and correspondence


Court & Filing

  • Saving relevant correspondence and documents in the file
  • Serving and filing court documents
  • Maintaining organization of client files
  • Contacting with the court regarding filing, scheduling and related matters


Reporting & Other

  • Preparing lists of client and sending e-cards and other holiday greeting
  • Tracking client lists of open files, hours billed, revenue received
  • Updating open file and closed file lists
  • Updating Law Society Profiles to include completed CPD
  • Tracking and updating lists of referral sources


Education & Qualifications

  • Familiarity with legal procedures, and protocol
  • Legal or paralegal studies training or certificate
  • Bachelor's degree or equivalent experience
  • Experience creating and sending invoices
  • Experience preparing documents from dictation/recording
  • Strong skills in Outlook, Word, and Excel
  • Excellent grammar, spelling and written communication skills
  • More than 2 years of experience as a legal assistant in a litigation practice in Ontario
