The Lease Specialist is accountable to the Manager, Real Estate in supporting various lease administrative activities including lease documentation, rent administration, exception reporting and data entry/updating. Value is created by managing the accuracy, timeliness, storage and flow of information internally to all stakeholders. Ensuring risk is mitigated by participating in the process of preparation, revision, execution and accurate data entry in the lease database system.
Is this role right for you? In this role, you will:
  • Monitor and track workflows to ensure timely completion/execution of submitted legal documents associated with the real estate portfolio as submitted by the SMCRE And MCRE
  • Review and track Landlord adjustments in rent, including annual Rental Advise Notices, CAM/Tax reconciliations in an effort to garner savings and escalate issues to the SMCRE and MCRE as needed
  • Assist in the annual/monthly budgeting creation and tracking requirements for all assigned budgets including invoice submission and tracking for accrual purposes
  • Manage the collection of market comparables to support renewal process and new site selection benchmark for SMCRE And MCRE
  • Insurance Administration: Provide certificates of insurance as requested by Landlords and obtain current certificates from third party tenants in properties owned by Meridian
  • Notify internal stakeholders (accounting, risk, marketing, REM team members) on change in network (new stores, closed and replacements). Notify internal stakeholders on change in landlord information
  • Generate monthly rent payables schedules and annual rent receivables schedule for upload into enterprise wide financial software system (NetSuite)
  • Monitor and action critical dates such as expiry dates, options to renew, options to terminate, etc.
  • Administer Property Tax payables and manage minutes for Meridian’s consultants for appeals of assessment
  • Reviewing and interpreting various leases to support inquires on an enterprise-wide level to aid in the resolution of day to day real estate issues/concerns/questions
  • Other duties and special projects as assigned
  • Produce various internal reports for REFM and senior leadership teams
  • Manage, maintain, update and ensure integrity of data and documents within and be a subject matter expert on the enterprise lease database system and associated data sets and tracking tools
We’d Love to Work with You If You Have the following skills and abilities:
  • Superior attention to detail and accuracy, particularly in terms of data input
  • 3+ years of administrative experience in working with commercial leases.
  • Systematic thinking and critical review skills
  • Knowledge of contract law, insurance and environmental law and property management.
  • Excellent organizational skills
  • Proficiency in MS Office
  • Previous experience in corporate real estate with a strong background in lease abstracting, interpretation and lease database management.
  • Excellent analytical skills
  • Outstanding communication skills – both verbal and written
  • Post-Secondary education in Business, Commerce, Legal Administration, Paralegal Services or equivalent.
