pus & Community Recreation is the host of multiple wellness activities and events that run throughout the University of Alberta campus. This includes recreational events and programs that are available at South Campus as well as North Campus.

Position


Reporting to the Manager, Campus & Community Recreation (CCR), South Campus, the Foote Field and Events Supervisor is an integral member of the South Campus team. Campus & Community Recreation supports the management of sport and recreation facilities, programs, services and events serving a variety of communities including University of Alberta students, staff, Faculty and general community members. Campus & Community Recreation also supports the facility and service needs of the Faculty of Kinesiology, Sport, and Recreation and the Varsity Athletics programs through the provision of dedicated sport and recreation space for teaching, research, training and competition.


The Foote Field and Events Supervisor provides leadership and supervision to the Bookings and Events Facilitator on south campus and within Campus & Community at the University of Alberta. The Foote Field and Events Supervisor participates in the development and activation of the Campus & Community Recreation overarching goals and assists team members in understanding the linkage between their day-to-day activities and the overarching goals of the organization. The Foote Field and Events Supervisor is an active participant in the CCR Leadership Group which consists of all supervisory staff within CCR, contributing ideas, collaborating with colleagues and initiating discussions to improve the delivery of service to CCR clients.


Specifically, the Foote Field and Events Supervisor leads 1 full-time direct report and 5-8 casual employees. The Foote Field and Events team is responsible for the effective and efficient allocation of all sport and recreation facilities managed by Campus & Community Recreation on the South Campus, inclusive of the Saville Community Sports Centre East, Foote Field and multiple outdoor spaces. The team supports the consistent, effective and efficient allocation and use of space in all facilities. The Foote Field and Events team ensures the facility booking process and requirements for use are conducted in a professional, detail oriented manner. The Supervisor works closely with staff members to ensure the exemplary delivery of client-focused service. The Supervisor will build relationships and partnerships with both internal and external clients to enhance the use of all facilities managed by CCR.


The Foote Field and Events Supervisor leads annual planning associated with sport and recreation facility allocation, contract development and delivery and collection of fees associated with facility use. The Foote Field and Events Supervisor is the key contact for allocation of space, on south campus, under the stewardship of Campus & Community Recreation. The Foote Field and Events Supervisor develops and leads administrative functions including space allocation guidelines, contract development, contract signing by delegated authorities, recommendation of rental rates, collection of fees and follow up on accounts receivable. The Supervisor will be a key resource for the Bookings and Event Facilitator for support, guidance and direction as required


Duties


  • Utilizes Intelligenz to input facility bookings, manage space availability, and identify conflicts to support equitable facility allocation.
  • Coordinates team activities based on area prioritizations. Keeps team focused and on track by assigning and allocating work to team members in key areas of responsibility including space allocation, indoor and outdoor space bookings, contract management, accounts receivable, process development and consistency, etc. Matches work to appropriate team member(s).
  • Reviews, assesses, and makes decisions regarding space allocation requests for all activities in accordance with space use priority guidelines and discount policies within spaces stewarded by Campus & Community Recreation.
  • Develops and trains staff on appropriate standard operating procedures including Emergency Response Plans associated with use of sport and recreation facilities under the stewardship of Campus & Community Recreation.
  • Understands and communicates the Vision and Mission of Campus & Community Recreation; guides team members in their understanding of the role Bookings and Events Facilitators play in achieving the Vision and Mission.
  • Develop and maintain an annual scope of events for south campus facilities including Foote Field, Saville Centre – East, Saville Centre – West
  • Trains and supervises a team of Booking and Event Facilitators to support effective and efficient facility use and to maximize revenue generation.
  • Collaborates with booking facilitators, Recreation Facility Operators regarding event/program space logistics including space requirements, activity set up, event/program logistics, facility access, load-in/load-out requirements and “best practices” for space use.
  • Serves as a key resource for staff in CCR, Athletics and KSR in establishing a clear understanding of the required process for all aspects of facility allocation including but not limited to facility access, space allocation, rental fees and discount policies.
  • Review, maintain, and coordinate the Saville Community Sports Centre and Foote Field websites
  • Responsible for the day to day operation, budgeting, and planning related to Foote Field.


Minimum Qualifications


  • At least 2 years’ experience in facility allocation, staff supervision, and client-focused service with demonstrated increasing responsibility and accountability
  • Police Information Check and Vulnerable Sector Check required;
  • Standard First Aid (within 3 years) and CPR C Certification (within 1 year) required;
  • University of Alberta Workplace Harassment and Violence Prevention training will be required upon employment;
  • Experience in Recreation Management Software required
  • Superior Communication skills required;
  • Minimum of two years experience related to facility, sport, recreation and/or event management;
  • Undergraduate degree in kinesiology, physical education, recreation, sport management or a related field required;
  • Environmental Health and Safety Supervisory Development training will be required upon employment;


Preferred Qualifications


  • Experience with Google Apps preferred;
  • Experience in risk management and event operation is preferred
  • Knowledge of recreation programming, athletics, and sport competition is an asset
