Reporting to the Executive Assistant to the CEO, you will manage the executive reception desk and office administration as well as proactively assist and support the daily administrative activities of our Executive Team in partnership with the Executive Assistants (EA) Team. The successful candidate will have strong organization, interpersonal and customer service skills.

Responsibilities:
  • Other duties as assigned
  • Greet internal and external guests upon arrival and ensure they are a seamless experience
  • Manage the executive reception desk and present a positive and professional image of the company to visitors who are meeting with the Cenovus Leadership Team (CLT):
  • Management of office supplies (includes ordering, tracking inventory and replenishing supplies when required)
  • Assist and support the Executive Assistants Team in many facets of office administration and operations:
  • Receive calls to general executive line and relay calls to the appropriate CLT EA for the respective CLT member
  • Ensure meeting rooms are prepped and tidied after each meeting
  • Providing administrative support to the EA Team with various administrative tasks
  • Liaison with Executive IT support as required to resolve technical issues and IT room requirements
  • Providing catering support (includes ordering, coordinating with the catering department, and clean up as required)


Qualifications:


  • Ability to adapt quickly
  • Ability to handle confidential information, exercise discretion and tact in sensitive/confidential situations
  • Strong reading comprehension skills
  • Superior attention to detail and accuracy
  • Computer skills and knowledge of relevant software
  • 5-10 years of experience as a receptionist / administrative assistant
  • Administrative certification, or completion of administrative courses is preferred
  • Ability to collaborate with team and work independently
  • Excellent analytical and problem-solving skills
  • Strong interpersonal skills and customer service skills
  • Ability to occasionally lift items (office supplies and catering)
  • Ability to self-motivate
  • Prioritizing, planning and organizing
